Administrative Associate II
Job Description
As the first point of contact for new and prospective students and visitors, this position is responsible for greeting visitors, answering and screening calls, providing information and referrals, and scheduling appointments. The Administrative Assistant II is also responsible for receiving, sorting, and routing mail; maintaining office supplies, equipment, and reference materials, including online materials; and communicating with SSC and Campus Planning regarding building security and the care, repair, and maintenance of the N. A. Kennedy Architecture Building and the Fabrication Center.
Additional responsibilities include assisting with graduation degree audits to support student advisors; assisting directors with planning for the School of Architecture Career Fair and the Summer ACI and ARTEC Program; preparing out-of-state tuition waivers and scholarship applications, approvals, and notifications; communicating with equipment manufacturers regarding service and maintenance as needed; participating in the training and supervision of student workers; and performing other duties as requested.
Please Note: The salary is determined in accordance with the University's compensation structure and will be commensurate with the candidates' education and experience, within the assigned salary range for this position.
Responsibilities:
- Performs word processing, desktop publishing, presentation, and data management activities, and assists staff with the use of these applications.
- Composes correspondence, reports, publications, and presentations, including editing and proofreading. Greets visitors, answers and screens calls, provides information and referrals, and schedules appointments.
- Receives, sorts, and routes mail and performs other mail services. Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies.
- Posts information to agency records and modifies forms or records.
- Verifies, processes, and reviews forms, reports, and other documents. Makes arrangements for meetings, appointments, conferences, and travel. Maintains office supplies and equipment.
- Maintains office reference materials including online office materials. May deliver, pick up, or receive cash payments, documents, supplies, equipment, or materials.
- May serve as a liaison for departmental equipment and service contracts. May participate in the hiring training, and supervision of student workers and other support staff.
- Will assist with the ACI and ARTEC summer programs by working with each coordinator of the program. Will help with the School of Architecture Career Fair.
- Performs other duties as assigned.
Required Education and Experience:
- High school diploma or equivalent combination of education and experience.
- Two years of related experience.
Required Knowledge, Skills and Abilities:
- Knowledge of word processing, spreadsheet, and database applications.
- Ability to multitask and work cooperatively with others.
- Effective verbal and written communication skills.
Preferred Qualifications:
- College degree.
- Five years of related experience.
