Job Description

The Administrative Coordinator for the School of Arts and Sciences and Office of Student Success is a 12-month, full-time position within the Academic Affairs Division. This role provides administrative support for the School of Arts and Sciences, including the Dean, Department Chairs, Director of Academic Enrichment Programs, Director of Learning Communities, and Coordinator of Undergraduate and Faculty Research. Within the Office of Student Success, the position provides administrative support to the Associate Vice President and various Directors. Support is required for both the Monroe and Polkton campuses.

Essential Duties Summary

• Perform a variety of administrative duties in support of the School of Arts and Sciences and the Office of Student Success
• Assist with curriculum change paperwork as directed by the Dean of the School of Arts and Sciences
• Assist the Dean, AVP of Student Success, Department Chairs, and Directors/Coordinators with maintaining program budgets and processing business and travel-related requests per college policy
• Schedule meetings as required by the Dean, AVP of Student Success, Department Chairs, and Directors
• Supervision of work study students as directed
• Assist with planning and execution of activities and college-wide events (Orientation, Open House, Commencement, etc.) as directed
• Maintain the School of Arts and Sciences SharePoint site
• Generate and maintain a variety of regular and confidential documents including general correspondence, reports, class schedules, forms, contracts, and memorandums from rough draft or from verbal instructions; prepare copies of documents; distribute information
• Assist in maintaining adequate forms and other necessary supplies
• Assist with forms and collection of data as requested
• Assume responsibility for the advisory committee process for the School of Arts and Sciences programs
• Prepare agendas and prepare and distribute minutes of leadership meetings, department meetings, and faculty meetings as directed
• Assume responsibility for current and accurate data for adjunct faculty in the School of Arts and Sciences
• Assist with program reviews, conducting research and surveys, and preparing updates, reports, and plans
• Continue professional development for the improvement of self to meet the needs of the School of Arts and Sciences, the Office of Student Success, and the College.
• Maintain current licensure, certification, or other professional credentials required for the position
• Participate in student recruitment, retention, advising, and registration activities
• Interact in a positive manner with visitors, students and staff to assist, deescalate, and provide resolution
• Collaborate with all areas of Student Success, as well as throughout the college, to provide excellent customer service to all visitors, staff, faculty, and students
• Aid in the creation and maintenance of related handbooks (e.g. Academic Advising Handbook; student Success Guide, etc.) and area reports
• Provide coverage assistance to Directors and other staff within the Office of Student Success as directed
• Maintain confidentiality of records and FERPA compliance
• Work a variable schedule, including evenings and/or weekends, and travel between campuses
• Perform other duties as assigned by the Associate Vice President of Student Success, the Dean of the School of Arts and Sciences, or the Vice President of Academic Affairs

Required Qualifications

• Minimum of one year of administrative work experience
• Ability to communicate effectively both orally and in writing
• Working knowledge/utilization of word processing, spreadsheet, and presentation software applications
