Coordinates and continuously improves administrative and operational functions for the Program in Immunology and the Cord Blood Transplantation Program within TST. This role serves as a central point of coordination for faculty, trainees and staff in a diverse and international scientific community. Ensures programs run efficiently, anticipates needs and strengthens administrative processes through data-informed tools and structured workflows.
This is an in-person, on campus, position based in our South Lake Union location.
Responsibilities
- Serve as the primary administrative lead for the Program (90+ members) and 8+ affiliated laboratories, coordinating operations across divisions and institutional partners to ensure alignment with center policies, clear communication and effective program execution.
- Oversee the weekly Immunology seminar series (80+ attendees), coordinating cross-divisional and cross-institutional speaker engagement while managing scheduling, logistics, catering, communications and on-site execution.
- Manage complex scheduling for faculty, coordinate domestic and international travel, manage office logistics including mail and supplies and administer ProCard reconciliations and reimbursements.
- Support program financial activities and tracking expenses, assisting with budget summaries and coordinating grant-related documentation with program and finance leadership while ensuring compliance with institutional policies.
- Design and coordinate program operations infrastructure using advanced Excel, business intelligence and automation tools to track activities, maintain digital platforms and improve administrative workflows.
- Support faculty initiatives, trainee programs and community engagement efforts through coordination of meetings, initiatives and special projects.
Qualifications
MINIMUM QUALIFICATIONS:
- Requires High School/GED and five years of administrative or relevant experience OR equivalent education/experience.
PREFERRED QUALIFICATIONS:
- Experience in an academic or scientific institute environment.
- Experience supporting faculty or program leadership.
- Familiarity with sponsored research regulations and financial tracking.
- Experience using front-end web development platforms (Adobe AEM).
- Demonstrated success independently managing complex administrative operations in a fast-paced organizational environment.
- Advanced Excel proficiency, including experience developing structured tracking, reporting or data-driven workflow systems.
- Experience leveraging business intelligence tools, dashboards, workflow automation platforms (e.g., Power Automate, Teams, SharePoint) and AI-enabled productivity tools to improve processes.
- Strong organizational judgment with the ability to manage competing priorities and communicate effectively across diverse stakeholder groups.
- Experience presenting to groups of various sizes.
- Comfortable public speaking and effective presentation leadership skills.
- Proven ability to work collaboratively within a diverse and international research community.
The hourly pay range for this position is from $31.26 to $44.51 and pay offered will be based on experience and qualifications.
