Administrative Coordinator
Position Summary
Rutgers, The State University of New Jersey is seeking an Administrative Coordinator for Student Affairs – Asian American Cultural Center (AACC). The Administrative Coordinator manages and oversees all administrative functions and provides support to programmatic elements of the Rutgers University-New Brunswick Asian American Cultural Center (AACC).
Among the key duties of the position are the following:
- Manages the day-to-day operations of these offices, provides support to 3 other professional staff members, and directly supervises work study student employees.
- Supports the logistics and implementation of a variety of programs and events such as welcome programs, APIDA Heritage Month programs, and student leadership development programs.
- Performs professional, administrative, and operational tasks.
- Oversees space reservations.
- Processes contracts, invoices, and purchasing requisition.
- Handles hiring, onboarding, training, and payroll management for student employees.
- Arranges and coordinates the logistics for events and meetings, serving as the unit representative when working with the various venues, vendors, departments, and professional services.
- Participates as a full member of the unit in developing, administering, and evaluating the office's overall operation and programming.
Minimum Education and Experience
Bachelor's degree in a related field and two (2) years of relevant experience; or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of student affairs and programming in a higher education setting.
Equipment Utilized
- Proficiency in using Apple or PC computer systems.
- Microsoft Office Applications including Outlook, Word, Excel, and PowerPoint; Google platform applications such as Docs and Forms, Canva, and Adobe Suites.
- Zoom and other videoconferencing platforms;
Physical Demands and Work Environment
May be required to travel to other campus locations and offices and lift boxes related to promotional items, as needed.
Special Conditions
- This position requires work hour flexibility during identified busy seasons. During those identified busy times, the position may also be limited and/or prohibited from taking vacation time. These times include but not limited to late August – September, late January – February, and late-March – mid- May.
- Available to work nights and weekends on occasion with schedules adjusted accordingly.
- Clean Driving Record.
