Position Summary:
The Administrative Office Assistant is responsible for providing administrative support in the Certified Testing Center (CTC) by helping to maintain overall center operations, including assisting students with test scheduling and participation, administering exams, obtaining/maintaining needed testing certifications, ensuring required testing policies and protocols are followed, and other duties as needed.
Required Qualifications:
- High school diploma or GED.
- Four years of qualifying experience or a combination of education and experience that equates to four years.
- Experience with Microsoft Word.
- Customer service experience.
- Spreadsheet and/or database experience.
- Organizational skills with strong attention to detail.
- Demonstrated positive interpersonal skills.
- Effective verbal and written communication skills.
- Ability to project a positive attitude.
- Ability to manage multiple projects and meet deadlines with accurate results.
- Ability to compose, proofread and edit correspondence.
- Ability to perform the essential functions of the position with or without accommodations.
Preferred Qualifications:
- Knowledge of software programs and/or systems (e.g. SAP, CRM, LMS, web-based testing and scheduling software).
- Prior experience with test proctoring and/or proctoring certifications.
- Prior employment experience within an adult learning/higher education environment.
- Demonstrated knowledge of various computer applications, file structures, and formats.
Duties & Responsibilities:
- Assists in the day-to-day operations of the Certified Testing Center (CTC).
- Assists in the administration of institutional, national, or specialized testing offered through the CTC.
- Assists with scheduling, processing, and coordinating exams for students with approved testing accommodations.
- Aids in the oversight of Scantron test sheet services, including processing of Scantron sheets, returning scores, and troubleshooting issues as needed.
- Assists in maintaining security and an appropriate testing environment pursuant to National College Testing Association (NCTA) guidelines.
- Makes independent judgments based on stated policies and procedures on academic integrity, candidate dishonesty, or unethical behavioral problems associated with testing.
- Lends support as needed to the Coordinator, Certified Testing Center, including special projects.
- Serves, as needed, as a liaison to CMU faculty and departments related to exam proctoring.
- Assists in the training of student employees as test proctors and provides limited supervision of student employees.
- Assists in troubleshooting problems as they arise.
- Limited evening and weekend work as needed.
- Other duties as assigned.
