Position Summary:

As a key member of the Social Work Program, this position provides administrative and operational support to faculty, students, and community partners associated with the accredited Bachelor of Social Work Degree and its practicum placements. The position is responsible for complex and varied duties, requiring an ability to work collaboratively and with a high degree of autonomy.

Required Qualifications:

  • High school diploma or GED.
  • Four years of qualifying experience or a combination of education and experience that equates to four years.
  • Experience with Microsoft Word.
  • Customer service experience.
  • Spreadsheet and/or database experience.
  • Organizational skills with strong attention to detail.
  • Demonstrated positive interpersonal skills.
  • Effective verbal and written communication skills.
  • Ability to project a positive attitude.
  • Ability to manage multiple projects and meet deadlines with accurate results.
  • Ability to compose, proofread and edit correspondence.
  • Ability to perform the essential functions of the job with or without reasonable accommodation.

Preferred Qualifications:

  • Advanced skills and resourcefulness related to data collection and reporting using university databases such as SAP, Data Warehouse, and other program-specific database systems such as Microsoft Access.
  • Evidence of proficiency in Adobe Creative Cloud and Microsoft Office suite, especially Microsoft Teams, Excel, Word, and Adobe Acrobat Pro.
  • Ability to perform duties with follow-through and a high degree of autonomy.

Duties & Responsibilities:

  • Serves as the primary administrative operations lead for the Bachelor of Social Work (BSW) Program, distinct from school-level administrative functions, coordinating and maintaining program-specific administrative and information systems (e.g., CMU systems and Lumivero Experiential Learning Cloud) in collaboration with the Program Director, Practicum Education Director and other program faculty to support student records, program operations, practicum education, assessment, and accreditation requirements.
  • Maintains accurate and confidential student and program records, and monitors student academic and program progress using established university and program systems; prepares routine reports to support advising, retention, graduation, compliance, and accreditation standards.
  • Carries out routine set-up, configuration, maintenance, tracking, and documentation activities within program systems and workflows, including admissions materials, course scheduling information, practicum placement documentation, assessment instruments, accreditation records, and program reporting.
  • Supports the BSW program admission process by coordinating application materials, supporting faculty review processes, tracking admission decisions, maintaining admission-related records, and preparing routine communications.
  • Supports curriculum, assessment, and accreditation processes by coordinating required documentation, maintaining compliance records, distributing assessment instruments, compiling data, and assisting with required reports and surveys in collaboration with faculty, registrar staff, and governance offices.
  • Provides administrative support for practicum education by assisting with agency and site instructor coordination, placement documentation, assessments, and maintenance of practicum materials and systems.
  • Serves as an administrative liaison with external practicum agencies and community partners in support of program requirements and accreditation standards.
  • Drafts, updates, and maintains program handbooks, manuals, and related program resources in collaboration with faculty and the Program Director.
  • Provides customer service and serves as the primary administrative point of contact for students, faculty, staff, and community partners by responding to inquiries, providing program information, and routing questions or concerns to appropriate personnel.
  • Develops, updates, and distributes program communications and resources using established university platforms (e.g., email, websites, learning management systems, collaboration tools, and social media).
  • Supports student advising and enrollment processes by coordinating faculty schedules, managing advising communications, maintaining advising records, and assisting with course registration issues and waitlists as needed.
  • Coordinates logistical and administrative support for program meetings, events, training, and academic functions, including preparation of materials, scheduling, room reservations, and documentation.
  • Assists with routine budget tracking, reconciliation, reimbursements, and documentation for program and grant accounts in collaboration with the Program Director and School administrative staff.
  • Hires, trains, and supervises assigned student employees and oversees student payroll processing.
  • Coordinates routine program office operations, including supplies, equipment, and reporting maintenance or technology issues related to program needs.
  • Provides administrative and operational support for special initiatives, including the Michigan Child Welfare Certificate and Title IV-E Child Welfare Fellowship programs.
  • Collaborates with faculty and staff to support efficient program operations, review workflows, and maintain effective administrative procedures.
  • Exercises initiative and independent problem-solving skills within established policies, procedures, and program systems.
  • Other duties as assigned.
