Administrative Coordinator
Position Summary
Rutgers, The State University of New Jersey is seeking an Administrative Coordinator for the Business Office, Division of Student Affairs – NB within the Student Affairs centralized human resource function. This position will be directly supervised by and provide assistance to the Department Administrator Supervisor.
Among the key duties of the position are the following:
- Acts as a designated initiator in ROCs for all vacancies and requested classifications, and a preparer in the PeopleSoft (HCM) and Time and Labor (T&L) applications.
- Prepares draft employment offer letters for new hires.
- Performs follow-up to ensure new employee orientation tasks are completed.
- Onboards all part-time and full-time employees.
- Processes employee retirements, terminations, and suspensions.
- Maintains division personnel files for aligned and non-aligned staff, including Dining Services.
- Assists with the audit of the division Federal Work Study Program for Class 5 employees, providing guidance, training, and problem solving for department payroll preparers and approvers on the use of university and division systems.
- Serves as back-up preparer for the division for all HR and payroll functions.
- Works with knowledge of confidential and sensitive information and must always safeguard it.
- Serves as back-up in the absence of the Department Administrative Supervisor.
Minimum Education and Experience
- Bachelor's degree in a related field, or an equivalent combination of education and experience that demonstrates knowledge and understanding of office administration, organization, coordination, and facilitation.
- Two (2) years of relevant experience in an administrative function.
