The Administrative Specialist IV plays a key role in supporting the Office of the President by assisting with and supporting the management of administrative operations, coordinating high-profile events, and supporting the President’s Assistant with the efficient flow of daily office activities. Reporting directly to the Executive Assistant to the President, this position will have responsibilities to strengthen the operational support for the President’s Office.
The Administrative Specialist IV manages event spaces and venues, coordinates complex schedules and communications, and may serve as a liaison with internal and external stakeholders. This includes working with faculty, staff, donors, legislators, and government agencies to ensure seamless planning and execution of presidential and provost-level initiatives.
The Administrative Specialist IV helps provide resource management while handling sensitive and confidential information with discretion. By assisting with tracking deliverables, helping to anticipate operational needs, and managing correspondence and status reports, the position enables the President and Chief of Staff to focus on strategic decision-making.
DUTIES AND RESPONSIBILITIES:
- Serve as the primary Administrative Assistant to the EVP/COS. Serve as backup to all Office of the President staff. Monitors President’s general (non-person) email account to execute responses to external and internal inquiries. Maintain database/tracking system of all correspondence.
- Serve as primary manager for event spaces and pop-up spaces controlled by the President/Provost’s Office. Communicate and handle correspondence to all stakeholders including pre-event communication, thank you notes, delivering “brag” material broadly, responding to VIPs in an ultra-timely manner with precise follow-up.
- Support President and Provost Office for tactical logistics, planning, and cross-unit coordination for office events not included in the University-wide PRMC Events.
- Support the President’s Executive Assistant (EA) in timely submission of travel, office purchases, reimbursements, and miscellaneous processing, as well as assist with organizing travel, accommodation requirements, and preparing itineraries.
- Support the President’s EA on extensive research on various topics, facts, and statistics to be used in messaging as well as assisting with developing presentation materials for the President.
- Attend events that involve the President and assist with and/or coordinate logistics as needed in partnership with other President’s support staff on and off campus.
- Supports additional “all-hands-on-deck” activities for both President and Provost’s Office.
- Other duties as assigned.
Qualifications
Minimum Hiring Qualifications:
Bachelor’s degree and four years of related experience, or a combination of education and experience.
Preferred Hiring Qualifications:
A bachelor's degree in business, higher education, or related field is typical.
Candidates should have experience in executive-level administration, event coordination, and cross-unit collaboration.
Strong skills in project management, communication and office technology are required; professional certifications are a plus.
