Pay Range Information
Chapman University is required to provide a reasonable estimate of
the compensation range for this position. This range takes into
account a variety of factors that are considered in making
compensation decisions, including experience, skills, knowledge,
abilities, education, licensure and certifications, and other
business and organizational needs. Salary offers are determined
based on the final candidate’s qualifications and experience, as
well as internal equity and other internal factors. The anticipated
pay range is not a promise of a particular wage.
Position Summary Information
Job Description Summary
This entry-level position provides admissions coordination support
for the College of Performing Arts (CoPA), spending approximately
80% of its time on CoPA-focused admissions duties and 20% of its
time supporting the Office of Admission’s undergraduate admission
counselor functions. The Admissions Counselor serves as the primary
day-to-day liaison between CoPA (Dance, Music, and Theatre) and the
Office of Admission, providing customer service to prospective
students and families, coordinating and assisting with audition
days from start to finish, and collaborating closely with CoPA
faculty and staff on the review and audition process.
In support of the Office of Admission, the Admissions Counselor
also assists with a reduced-scope caseload of file reading for
CoPA-related applicants, represents the University at a number of
recruitment events, and helps compile data for outreach planning
and evaluation. This position is intended as a developmental,
entry-level role within the admissions/enrollment career
path.
Responsibilities
- Provide professional, timely support for all admission-related
inquiries from prospective CoPA students, parents, high school
representatives, and guests, covering the Dance, Music, and Theatre
departments.
Maintain accurate records with a high level of confidentiality.
Serve as a resource to prospective CoPA students throughout the
admissions process, and to the CoPA Dean, Associate Dean, staff,
and departments on admission-related processes.
Serve as the principal day-to-day liaison between CoPA and the
Office of Admission
Work with CoPA departments to help plan and execute the
audition process, including scheduling, software/technology needs
and training, and general admissions-related office support.
Help manage the CoPA tour schedule for prospective students;
may occasionally serve as a tour guide or give guest presentations
on CoPA admissions.
Work with the CoPA Communication and Marketing team to help
ensure admissions content on the website is accurate and current
and collaborate on admissions-related communications.
Help organize and maintain an inventory of media relating to
CoPA admissions.
Help ensure accurate data is collected for CoPA admissions
surveys and reporting, and that watch lists are kept current.
Serve as a point of contact for CoPA families on the Dean’s
list of prospective/admitted students.
Assist with a file-reading caseload for the University
Admission Committee.
Support committee reading of assigned applicants, as
directed.
Support Admission staff with Counselor of the Day duties,
including hosting daily presentations for prospective guests.
Regular off-Campus travel to school visits and recruitment
events, as assigned by the Office of Admission.
Represent the University and CoPA at a schedule of college
fairs, school visits, and on-campus recruitment/preview events, as
assigned by the Office of Admission.
With training, assist in compiling data to support planning,
implementation, and evaluation of undergraduate outreach
efforts.
Perform other duties as assigned.
Required Qualifications
- Bachelor’s degree, or equivalent combination in education and
experience
- Valid Driver’s License Requirement
- Demonstrated customer service and interpersonal skills,
including the ability to foster effective relationships and work
with a diverse group of individuals, both within and outside the
University community.
- Strong written and oral communication skills, with extreme
attention to detail, to prepare clear, accurate, and diplomatic
correspondence and information.
- Strong organizational skills and the proven ability to handle
simultaneous deadlines in a fast-paced environment (e.g., audition
season).
- Ability to work effectively as a member of a team, and the
ability to exercise initiative and work
- independently.
- Ability to use standard office equipment and strong technical
skills to learn and use Chapman’s CRM (Slate).
- Ability to demonstrate tact and diplomacy, maintain
confidentiality, and follow FERPA regulations.
- Ability to work effectively as a member of a team, while also
exercising initiative and working independently under general
supervision.
- Skilled in analyzing, interpreting, and helping report
admissions and outreach data.
- Interest in higher education admissions process; basic
knowledge of Chapman University academic and student life. Interest
in or exposure to the performing arts (dance, music, and/or
theatre).
- Prior experience providing administrative or customer-service
support in a professional office setting.
