Job Summary
San José State University is seeking an experienced, detail-oriented, and student-focused Admissions Program Specialist to join the Undergraduate Admissions and Outreach team. This position plays a critical role in expanding online access to higher education, particularly for working adult learners and students from historically underserved communities. Under the general supervision of the Executive Director of Undergraduate Admissions, and with a dotted-line reporting relationship to the Associate Director, the incumbent independently performs complex admissions-related functions in support of SJSU Online, a key initiative of Enrollment Management.
Key Responsibilities
- Serve as the primary liaison to SJSU Online Enrollment Counselors, handling all prospective and applicant inquiries
- Evaluate and verify applications, transcripts, and supporting documents to determine eligibility for admission
- Interpret and apply CSU and university admissions policies, including Title 5 and Chancellor’s Office directives
- Process applications and post transfer credit evaluations for special session programs
- Train and advise online enrollment and recruitment staff on admissions procedures
- Collaborate with various departments to ensure compliance and deliver exceptional service
- Use CMS, OnBase, and other systems for admissions review and transfer credit processing
- Support outreach events and assist with regular session admission processing during peak periods

- Knowledge of clear, audience-appropriate communication practices for students, faculty, and staff, while maintaining a student-centered approach
- Ability to interpret and apply CSU and SJSU admission requirements and policies
- Ability to provide timely and accurate responses, manage multiple priorities, and track decisions
- Ability to reason logically and analyze data to make informed decisions
- Ability to maintain confidentiality and handle sensitive communications with students, parents, staff, faculty, and external agencies
- Ability to identify problems and find resolutions efficiently
- Utilizes or learns to utilize CMS for record keeping and to retrieve information
- Knowledge of technical databases and programs for Word documents, databases, communication tools, spreadsheets, etc.
- Ability to develop and lead presentations and workshops
- Must possess excellent customer service and public relations skills
- Takes initiative and is resourceful in planning work assignments and in implementing long-range program improvements
- Ability to collect, compile, analyze, and evaluate data and make verbal or written presentations based on these data
- Ability to advise students individually and in groups on routine matters where required
- Ability to compose and appropriately format correspondence and reports
- Knowledge of technology and software applications such as word processing, spreadsheets, database management, and communication tools

Required Qualifications
Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution where such are job-related. Three (3) years of progressively responsible professional student services work experience. A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.
Preferred Qualifications
Bachelors or equivalent experience. Three (3) to (5) years as an admissions evaluator. Experience working in a higher education enrollment services environment, admissions, records, and/or evaluations. Experience analyzing and interpreting college/high school transcripts, documents, process requirements, and university policies regarding admissions and enrollment. Experience with PeopleSoft and customer service-based technology systems. Excellent written communication skills. Experience in communicating admissions and or student services policies and procedures to community college, university, or high school constituents.
Compensation
Classification: Student Services Professional III. Anticipated Hiring Range: $5,584/month - $6,000/month. CSU Salary Range: $5,540/month - $7,893/month.
