Position Summary

San Diego State University is seeking a highly organized and service-oriented Alumni Administrative Support Coordinator to support the SDSU Alumni Office. In this role, you'll serve as a central hub for operations-helping manage alumni programs, membership services, and office workflows while delivering excellent customer service to alumni and campus partners. Your work will play a key role in strengthening connections with SDSU's vibrant alumni community.

Key Responsibilities:

  • Office Operations & Support
    • Serve as the primary point of contact for alumni inquiries
    • Support daily office operations, scheduling, and event logistics
    • Coordinate office needs, service requests, and shared space usage
  • Membership & Alumni Engagement
    • Administer alumni lifetime membership processes, including payments and onboarding
    • Respond to inquiries and support member communications and benefits
  • Data & CRM Management
    • Maintain and update alumni records to ensure data accuracy
    • Reconcile data across systems and support reporting efforts
  • Financial & Administrative Support
    • Process transactions, reimbursements, and purchase requests
    • Track expenses and assist with account reconciliation

Position Information

  • This is a full-time (1.0 time-base), benefits eligible, permanent/probationary position.
  • This position is designated non-exempt under FLSA and is eligible for overtime compensation.
  • Standard SDSU work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
  • The individual hired into this role will work on campus at SDSU in San Diego.

Units of URAD work together to create enduring relationships with alumni, parents, donors, students and the community to generate private support for SDSU students, faculty and a diverse number of programs. URAD handles a range of services encompassing stewardship, events, gift administration, communications and more. The departments of Development, SDSU Alumni, Planned and Annual Giving, Special Events and Donor Relations, Marketing and Communications, Financial Management, Data Management, Prospect Research and Management and Operations are making a tangible difference in the lives of more than 40,000 students.

Education and Experience

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Key Qualifications

  • Ability to effectively communicate and work with others.
  • Ability to accept direction, initiate and recommend action, and work without direct supervision.
  • Ability to learn, understand, and execute various complex procedures.
  • Preferred: Knowledge of fundraising software, database processing, and record maintenance procedures.
  • Preferred: Knowledge of membership processing and Alumni and Donor Relations in a higher education environment.

Licenses/Certifications Required

Valid California Driver's License or the ability to obtain one within 30 days of hire.

Compensation and Benefits

San Diego State University offers competitive compensation and a comprehensive benefits package designed to support your well-being and professional growth.

Compensation:

Step placement will be determined based on relevant qualifications and professional experience, in alignment with the department's budget and equity guidelines.

  • Initial step placement is not expected to exceed Step 1 ($4,367/month).
  • Salary step placement for internal applicants will follow the CSUEU Collective Bargaining Agreement.
  • CSU Classification Salary Range: $4,367-$6,362 per month (Step 1-Step 20).
  • Future increases, including step advancements, are subject to contract negotiations
