SUMMARY: Reporting to the Scholarship Coordinator, the Assistant Coordinator of Scholarships is primarily responsible for assisting with the college’s institutional scholarship program. This position plays a key role in helping implement the scholarship initiatives of Northern Oklahoma College. The assistant coordinator will assist with development and implementation of College policies, procedures, and systems; monitoring compliance with all federal, state and institutional policies and regulations; administering institutional and private scholarships; and preparing and maintaining appropriate records and reports.
ESSENTIAL DUTIES AND RESPONSIBILITIES include:
- Serving as the primary contact for NOC Foundation scholarships and other private scholarships given to students by providing information on scholarship opportunities, eligibility requirements, and the application process.
- Understanding the policies for scholarships which support the goals of the institution and ensures compliance with regulations, guidelines, and standards by the College, state and federal agencies.
- Assisting with the administration of concurrent scholarships.
- Serving on College committees as determined by the Scholarship Coordinator.
- Assist with administration of college participation scholarships (athletics, music, agriculture, etc.).
- Assisting with the Institutional awarding process: Processing, awarding, notification, retention
- Assisting with maintaining scholarship recipients’ accounts on scholarship software system (AwardSpring), financial aid system (PowerFaids) and through the institution’s student information system (JenzabarOne)
- Assisting in answering questions, accepting applications, gathering information, scheduling and attending scholarship meetings, awarding scholarships, notifying students, maintaining student records, answering questions on billing, ensuring students maintain requirements
- Assisting with maintenance of scholarship website and social media accounts
- Representing office at recruiting events-May be asked to speak
- Compiling and reviewing scholarship appeals with the Scholarship Coordinator in preparation for appeals committee.
- Monitoring state and federal regulations to ensure compliance; Completing all College-required trainings, including Title IX and FERPA.
- Maintaining job manual for position with regular updates to describe processes when substitutions are needed
- Performing all other duties necessary to accomplish the educational objective of the College and/or as assigned by the Scholarship Coordinator and/or Vice President for Development and Community Relations.
QUALIFICATIONS: Excellent interpersonal, oral, and written communication skills as well as expertise to accomplish the above essential duties and responsibilities are required. The Assistant Coordinator of Scholarship must preserve confidentiality of privileged and sensitive information; use independent judgment and initiative in the planning, organization, and performance of responsible work; establish and maintain cooperative working relationships with those contacted in the course of work. Creativity; team player with strong organizational and customer service skills; and proficiency of Microsoft Office applications are required. Must be able to work under pressure; meet inflexible deadlines; set priorities and maintain professionalism when dealing with individuals. Weekend and evening work will be required with a flexible 40-hour work week schedule. Subject to satisfactory Fair Credit Reporting Act Disclosure which includes a criminal background check.
EDUCATION and/or EXPERIENCE: A minimum educational level of a bachelor’s degree is required with three to five years of experience in financial aid/scholarships in an academic setting, higher education preferred.
