The Assistant Development Officer (ADO) will serve as an instrumental member of the Penn Engineering team working to advance the mission of the School of Engineering. The ADO will work in partnership with the Vice Dean and the major gift team to plan, coordinate, and implement development efforts for School of Engineering initiatives. Assume responsibilities in the areas of data driven operations, prospect management and reporting, communications, volunteer management, donor and faculty relations, event support.

Job Description

Job Responsibilities

  • Vice Dean Staffing. Responsible for supporting all key initiatives designated by the Vice Dean in support of the development and alumni relations work of Penn Engineering. These initiatives span a broad range of strategic, analytical, and logistical work and involve coordination with the full spectrum of team members internally and externally across Penn Engineering.
  • Donor Management/Project Management. Responsibility for the tracking and management of gift data including the retrieval of data and production and analysis of reports. Be able to step in as needed by the Vice Dean and gift officers as point person for specific projects. Navigate priority projects through to completion, working collaboratively with many colleagues in many areas of development in Penn Engineering and across the university.
  • Cultivation/Donor Identification. Work collaboratively with colleagues to provide support in the identification and cultivation of new prospective donors. This includes managing systems to organize/keep records/plan actions for identified prospective donors for day-to-day tasks and long range planning in database and other systems.
  • Communications. Produce and/or coordinate stewardship reports and activities for donors working with the Vice Dean, communications staff and gift officers, including annual reports, thank you and outreach letters, e-communications, and recognition vehicles. Serve as a project manager for stewardship reporting system to ensure stewardship deadlines are met. Draft select gift proposals. Assist the gift officers with drafting letters, reports, and key correspondence.
  • Collateral Material Creation. Working alongside the Vice Dean, this role will be responsible for first drafts of many marketing and information pieces, including designing one-pagers and other collateral materials. Supporting the Vice Dean and major gifts team, this role will attend faculty meetings, keep notes and help draft development and marketing materials. Creation of these materials are a team effort, and this role plays an integral part in streamlining the process and adhering to timelines.
  • Volunteer Involvement. Serve as a key team member working to support colleagues and teams to deploy best practices with volunteers.
  • Faculty Relations. This role works alongside the Vice Dean and colleagues to record notes and action items from meetings with faculty leadership. Work closely with the administrative and support staff for the faculty to coordinate meetings and enhance relationships. When needed, this role will draft briefing materials for faculty and institutional leadership.
  • Special Events. Work with the major gift team to help plan, staff, and coordinate meetings and special events related to donor and volunteer activity as needed.

Qualifications

  • Bachelor's degree and one to- two years of related experience, preferably in institutional development or a marketing focused environment, or an equivalent combination of education and experience.
  • Highly motivated with excellent project management skills, high comfort with technology, and thrives in a fast-paced environment
  • Ability to work independently and collaboratively as part of a goal-oriented team.
  • Excellent oral and written communication and interpersonal skills.
  • Superior attention to detail in an environment where accuracy and timely completion of tasks is critical to maintaining donor and faculty leadership satisfaction.
  • Solid computer skills: familiarity with donor/customer management databases, websites, internet, word processing, etc. Proficiency in preparation of numeric- and text-laden spreadsheets, Power Point, Excel, etc. Familiarity with InDesign, Photoshop or Adobe PDF is useful.
  • Ability to handle complex and highly confidential information.
  • Ability to work evenings and weekends.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, and in alignment with salary ranges based on external market data for the job's level.
