Assistant Director of Continuing Education and Graduate Studies
Under the direction and supervision of the Assistant Vice President of Enrollment Management, the Assistant Director (AD) is primarily responsible for coordinating the outreach, and recruitment of continuing education and graduate students. Some academic advising is required. The incumbent will serve prospective and enrolled students by providing admission, enrollment and advising information about academic majors and certificate programs, assesses transfer credit options, and supports students' successful transition to the college. The AD will be a liaison between students and various college departments including the Registrar's Office, Student Financial Services, and Career Development; maintain accurate student records and educational plans; and, track students' academic progress from enrollment through graduation to assure that all requirements are met. The AD will support the Enrollment Management team in strategic planning, marketing, and recruitment efforts and develop and maintain relationships with external agencies, businesses and schools. The AD will coordinate communications and services to retain students and to meet division enrollment goals. The specific title, duties, and / or level may be adjusted and will be confirmed prior to an offer being made.
Essential Functions:
1. Student Recruitment and Advisement Coordination:
- Provide prospective and enrolled students with an overview of academic offerings, degrees, and certificates;
- Assist students with program admission requirements, application document tracking, and admission/matriculation status and keep current on all program, degree and certificate requirements;
- Provide students with information regarding the admission application process and financial aid and resolve students' issues related to records, billing, and registration;
- Maintain accurate and current electronic educational plans for all advisees in Banner and in hard copy student folders;
- Process transfer evaluations for advisees;
- Manage student records, lists, and communications; maintain specialized advising knowledge for special student populations;
- Represent CE and Graduate Studies at relevant local colleges, agencies, and employers to meet with prospective students;
- Assist with open houses, information sessions and other recruitment events within Enrollment Management.
2. Monitor and Enhance Student Experience, Retention, and On Going Involvement/Engagement:
- Assist with development, planning, and implementation of retention strategies; Develop and maintain retention strategies, including communication activities with and for current continuing education and graduate students;
- Devise systems for contacting students who have not enrolled in a timely manner, determine the reason, and offer resources and solutions with the goal of retaining the student in their academic program;
- Maintain strategies to promote student engagement and interactions, including student groups and student activities;
- Monitor best practices in student engagement, retention and advisement for adult learning trends and practices, and bring to the attention of the Senior Director:
3. Oversee Data Collection and Analysis:
- Develop and document key metrics for retention of students, engagement of current students, and continued involvement of graduates;
- Generate and analyze reports on retention, engagement, and involvement efforts and their results, to be shared with Senior Director;
- Maintain an electronic database of all student problems, issues and conversations and provide reports as requested to Senior Director;
- Maintain collegial working relationships with various college departments and faculty, as well as external agencies, businesses and schools.
Additional Functions:
- Participate in strategy meetings for establishing enrollment projections.
- Participate in appropriate college-wide committees and undertake special projects as directed.
- Perform other duties as assigned by the supervisor or his/her designee.

Minimum Qualifications:
- Bachelor's degree is required.
- Three to five years of professional experience in an educational setting.
- Proven success in sales/recruiting, ability to achieve enrollment goals, strong telemarketing and customer service skills, ability to develop and maintain relationships and partnerships with external organizations.
- Academic advising experience is required.
- Possess strong organizational skills with the ability to work in a fast-paced environment, and skilled at prioritizing and meeting deadlines.
- Excellent communication and organizational skills and solid technical skills including MS Office Word, Excel, Outlook.
- Ability to work as part of a team to achieve established goals.
- Ability to travel to off-campus locations for events and recruitment.
Preferred Qualifications:
- Master's degree is preferred.
- Previous work experience in a higher education environment preferably with returning adult students; academic advising in health-related fields; International student advising experience is helpful.
- Familiarity with the Banner system and Salesforce CRM.
Salary Range:
$54,000 to $56,000 annually
