Assistant Director of Inventory Management, Logistics & Services (INTERNAL)

The Alabama State University Chief of Staff's office invites applicants to apply for the position of Assistant Director - Inventory Management. The selected candidate will supervise, organize, manage staff, and activities involved in maintaining and controlling the University's receiving and equipment systems to include the accountability and disposition of movable property, manage all university warehouse storage facilities, surplus equipment and bench stock. This position reports to the Assistant Vice President of Procurement & Supply Chain Operations.

Duties and Responsibilities:

  • Ensure integrity of fixed asset data including recording transactions relating to acquisitions, disposals, sale, transfers, depreciation and physical inventory of University property
  • Ensure that the University's fixed assets are properly acquired, safeguarded, controlled, recorded and disposed of
  • Provide detailed reporting of University property to Comptroller and/or senior management as needed
  • Provide ongoing monitoring and training of staff to adequately perform functions associated with the receipt of merchandise from vendors to the delivery of applicable purchases to departments
  • Report any noticeable problems with the functionality of the receiving system and report concerns to the Assistant VP for Business & Finance and senior management for resolution and/or appropriate follow-up as needed
  • Revise and approve departmental procedures based on best practices and staff recommendations
  • Review outstanding issues with the Assistant VP for Facilities Management & Operations and ensure that operating procedures approved are consistently applied
  • Maintain the operation of an on-campus supply store for emergencies via the Store Supply Request process
  • Serve as the departmental representative with other University departments regarding receiving/inventory issues and report any concerns that may arise to the AVP of Procurement & Inventory Management as needed
  • Provide property records, identifying and locating property during annual audit of University property by external auditors
  • Ensure that a complete inventory of the University's assets is completed at least once every two years
  • Provide best practice recommendations based on sound accounting, management and auditing principles that protect the best interest of the University and perform other duties that may be assigned

A Bachelor's degree, 5 years of supervisory experience or; 10 years of supervisory experience Inventory Management and Logistics, computer applications in work management, and report generating; managing logistic functions to include warehousing, maintaining bench stocks, purchase of equipment and supplies; management in maintaining and dispersing equipment, furnishings, and inventories;, and considerable experience managing a diverse workforce of skilled workers and laborers required.
