Executes and manages plans for faculty development programs, workshops, and instructional initiatives offered by the Academy for Teaching Excellence. Ensures accurate application of internal faculty development credit procedures and compliance with Illinois Community College Board (ICCB) regulations. Collects and analyzes participation, survey, and student outcome data to assess program effectiveness and support continuous improvement.
Provides highly responsible, confidential, and complex administrative assistance to the Dean of Teaching and Learning. Manages office workflow, coordinates communications, maintains records and calendars, and supports the preparation of reports, presentations, and correspondence. Serves as a key liaison between the Academy and internal departments to ensure smooth implementation of faculty development initiatives and alignment with institutional processes.
Characteristic Duties:
Faculty Development and Programming Coordination and Support
- Provides logistical support for all faculty development programming and events (e.g., workshops and graduate equivalency courses (GECs)), including room reservations, technology requests, and catering orders.
- Ensures that faculty development course policies and procedures are implemented for participants, instructors, and other facilitators.
- Coordinates Continuing Education Unit (CEU) credit processes and procedures for faculty development courses and workshops. Builds courses and sections in SharePoint, enrolls and tracks registrations, manages adds/drops through Banner. Works with HR to ensure appropriate awarding of CEU credit for faculty in Oracle.
- Supports the Shared Governance Faculty Development Committee - by ensuring that teaching and learning mini-grants recommended for approval comply with the committee charter and college policies. Initiates associated payments and reimbursements for approved teaching and learning mini grants.
- Submits GEC course information for approval to the Illinois Community College Board (ICCB).
- Supports the Communities of Practice (CoP) program by reviewing action plans and recommending solutions to meet resource requests.
Faculty Evaluation and Engagement
- Coordinates the non-introductory period adjunct faculty contractual evaluation process, including scheduling, database maintenance, eligibility determination, and communication with faculty and divisions.
- Coordinates peer classroom visits and maintains website database and communications for the non-introductory period adjunct faculty evaluations.
Data Analysis and Reporting
- Designs and conducts surveys, analyzes participation and outcome data, identifies gaps, and prepares reports for assessment and strategic planning.
- Gathers and compiles information for special reports and projects.
ICCB Program Review and Annual Updates Coordination
- Coordinates the logistics and preparation of the Illinois Community College Board (ICCB) program review and annual update processes for the college, collaborating with academic division deans, operations managers, faculty chairs and coordinators, institutional research and the Provost area.
Budget and Financial Management
- Assembles budget information and assists in the preparation of the Academy's budget.
- Manages and monitors Academy budget records, including requisitions, transfers, purchase orders, check requests, reimbursements, and financial reporting. Assists the Dean with budget reconciliation and ensures timely processing of vendor contracts and payments.
Administrative Support
- Maintains confidentiality at all times.
- Oversees day-to-day operations of the Academy for Teaching Excellence department and is responsible for the organization and management of the office workflow.
- Provides administrative support for the Dean of Teaching and Learning by scheduling, coordinating and updating meetings, appointments, and events, maintaining the ATE's programming calendar, and preparing agendas, note-taking, and follow-up documentation for department-related meetings.
- Handles routine inquiries on the Dean's behalf and provides general information to faculty, staff, and student employees.
- Maintains the office inventory and orders supplies.
- Directs the day-to-day activities of student employees.
- Assists with travel arrangements, conference registration, and related reimbursements for the Dean of Teaching and Learning.
- Develops and maintains the office cloud filing and records systems (via Microsoft Teams, SharePoint, OneNote).
Communications and Outreach
- Maintains and updates Academy websites, calendars, forms, and internal communication tools.
- Ensures effective internal communication with appropriate faculty and staff and responds to inquiries as needed. Works independently to resolve issues. Monitors Academy email alias and phone.
- Serves on internal Academy teams related to faculty development operations and projects as assigned by the Dean.
- Updates Academy forms and documents and uploads to HIP as needed.
- Collaborates with departmental and institutional marketing and college communications to promote faculty development initiatives and events.
Performs other duties as assigned.
Education:
An associate's degree or commensurate relevant work experience is required. A bachelor's degree is preferred.
Experience:
1 year experience working with the administration of training or professional development programs required. Excellent verbal and written skills required. Must be self-starter with high motivation. Ability to manage multiple responsibilities and priorities. Must be detail oriented with strong communication, interpersonal and organizational skills. Proficient in Microsoft Office suite, data tracking tools, and enterprise systems (Banner, Oracle) preferred.
