Job Summary
Performs senior-level assistant duties for the Institute of Public Safety programs, faculty, staff, and students. Answers phones, performs data entry and word processing, types correspondence, attends meetings and departmental and/or college functions, and provides support to note-taking and testing service providers as needed. Provides program information to prospective students for the Law Enforcement Academy, Emergency Medical Services, Motorcycle safety and Firefighter programs. Will be trained to assist with interviews, background checks, scheduling, records maintenance, and graduation. Organizes and maintains student document files, including confidential documents into Etrieve database. Performs data entry to maintain student and financial records using Banner.

Essential Duties & Responsibilities
- Facilitate registration of applicants to Law Enforcement Academy.
- Ensure all required documents and test results are provided.
- Coordinate with Utah P.O. S. T. for background investigations to be completed on applicants.
- Schedule group interviews.
- Prepare student file packets and verify enrollment.
- Hire Law Enforcement Adjunct Faculty and support their needs throughout each class.
- Assist with department payroll.
- Prepare badges, nameplates, rosters, score sheets, and other documents for cadet coursework.
- Schedule and document random drug testing of cadets.
- Prepare certificates and pictures for graduation.
- Maintain cadet files, peer evaluations, and other documents for review by hiring agencies.
- Communicate with Registration Office to be added as an instructor to the classes, ensure class dates are correct, drop/withdraw students from course, request overrides for new Law Enforcement Officers students.
- Maintain the Academy Facebook site.
- Prepare, send, and receive telephone and written communications pertaining to the LEA.
- Distribute law enforcement agency job announcements and assist in scheduling agency representatives to present in academy classes for recruitment purposes.
- Assist IPS Administrative Assistant and Part-Time Secretary with office inventory/surplus, pay inter-department billing, payment requests, as well as set up and pay purchasing orders.
- Archive backlog of hard copy records for all programs.
- Utilize Canvas to document attendance, assignment, and test scores, and calculate grades.
- Provide Canvas support to faculty and Program Coordinators.
- Attend POST satellite academy meetings, department meetings, Academy graduations, and other department events.
- Communicate with Miller Campus Conferencing and Event Center for Graduation set up.
- Meet with investigators from law enforcement agencies conducting background investigations on current/former cadets.
- Provide access to cadet files, including peer reviews.
- Other duties as assigned.
Knowledge Skills & Abilities
- Ability to organize tasks.
- Understand and perform general office procedures with experience in Microsoft Office programs, phones, faxes, copiers, printers, and ability to type 30 wpm.
- Strong communication skills (listening, speaking, questioning, writing).
- Ability to coordinate Salt Lake Community College (SLCC) programs, as well as P. O. S. T. and other state agencies.
- Ability to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the College.
- Ability to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilities.
Minimum qualifications
- Associate's degree or two (2) years post high school.
- One (1) to four (4) years direct, paid, full-time work experience.
Preferred Qualifications
- Knowledge of Banner, Canvas, Nolij/Etrieve, POST Application Portal, Google Drive, WebEx, SLCCBuy, and ACADIS computer systems preferred.
- Knowledge of college procedures and requirements preferred.
