The Financial Aid Office at St. Catherine University invites applications for a full-time Assistant Director of Financial Aid position.
This position manages daily financial aid operations of the College for Adults baccalaureate and associate programs. In consultation with the Director and Associate Directors, the Assistant Director researches regulations specific to administration of aid for adult bachelor's, associate, and certificate programs in the College for Adults and maintains documented policies and procedures designed for compliance and best practice in all operations. The Assistant Director manages activities to ensure CFA student financial aid is awarded in a compliant and timely manner within federal, state, private, and institutional requirements and deadlines. The Assistant Director provides financial aid counseling and services to students and coordinates activities to resolve complex student issues with other key offices at the University. The Assistant Director provides support to other populations as appropriate and necessary to meet Financial Aid Office and Enrollment Division priorities and goals.
Responsibilities include:
- Prepare financial aid packages for prospective and current students.
- Perform need analysis and exercise professional judgment according to regulation and policy.
- Use knowledge regarding aid programs and legislation, need analysis theory and computation to review student applications and determine financial aid eligibility.
- Review academic transcripts and determine eligibility for Minnesota State grants.
- Evaluate Satisfactory Academic Progress and place on probation or suspension as necessary.
- Revise packages as necessary based on additional information, appeals, or receipt of aid.
- Complete federal Verification process. Identify and resolve conflicting data. Review subsequent ISIR, grade change, SAR C-Flag and other reports, determine transaction or package revisions, and complete required student record or aid adjustments.
- Complete various reports and/or reconciliation projects for loan, grant, work study, scholarship, and other aid programs as identified by Associate Directors or Director.
- Determine eligibility for state programs.
- Complete monthly report status and submit annual state reports.
- Complete term-based review of CFA student records to confirm institutional status and federal and state Satisfactory Academic Progress.
- Create and send required notifications, update records, review appeals.
- Complete awarding or related work for other populations as able and necessary to meet office and enrollment goals.
- Counsel students, families and guardians on eligibility requirements for federal, state, institutional, and private student financial aid programs.
- Interpret and explain financing options and financial aid regulations.
- Resolve simple and complex problems, and de-escalate difficult situations.
- Ensure smooth and meaningful referral to other University offices and external agencies when appropriate.
- Provide excellent customer service and communication during walk-in visits, appointments, and via letter, telephone, and e-mail inquiries.
- Exercise pro-active problem solving on broad range of issues to anticipate and minimize problems and concerns for students and their families.
- Coordinate complex problem resolution with staff in the Financial Aid Office, Student Accounts, Registrar, Academic Advising, Academic Affairs, Access and Success, Student Life, and other departments as necessary.
- Serve as a liaison with internal and external agencies who provide funding to students that is counted as part of the student aid package.
- Administer scholarship funding, adjust aid due to over awards, coordinate with the Student Accounts on funds received and reconcile account discrepancies.
- Counsel students and partners in understanding the federal rules and regulations that impact students' ability to receive scholarship dollars for study abroad programs.
- Play an active role in creating new programming and calendars that pertain to the program guidelines.
- Update financial aid related information on the web regarding these programs.
- Monitor and review federal Return of Title IV and state refund calculations for accuracy. Perform initial calculations as necessary.
- Act as liaison to Student Account to coordinate retention efforts for students with past due balances and registration holds.
- Package awards, complete verification, perform Professional Judgment calculations for special circumstances as necessary to meet office, enrollment, and University goals.
- Read, review and understand NASFAA News, MAFAA emails, Federal Student Handbook, MN Office of Higher Education State Financial Aid Handbook, other information to maintain current knowledge of financial aid programs to ensure compliance with federal and state regulations as well as institutional policies.
- Complete trainings and attend conferences as necessary.
- Represent office and University on committees and at meetings and events.
- Participate in staff meetings and internal professional development sessions.
Minimum Qualifications:
Bachelor's degree
Experience serving the needs of 1st generation and BIPOC students in matters regarding financial aid.
Three (3) years of experience with CRMs (e.g., Banner/Argos, Peoplesoft, PowerFAIDS, etc.) in the administration of financial aid. Knowledge of federal, state, and institutional financial aid policies and regulations.
Experience with COD, FAA Access and NSLDS or other related applications.
Experience serving customers respectfully and patiently.
Ability to work within deadlines and complete a high volume of work with accuracy. Proficiency with Google Workspace, Microsoft or related software applications.
Preferred Qualifications:
Experience leading teams or projects.

Compensation: Annual wage is $46,717 - $65,395 depending on qualifications and experience.
