Job Summary:
The Mead Witter School of Music seeks an experienced administrative assistant to help manage the scheduling logistics of our athletic pep band and community gig performances. The incumbent in this position can expect the following duties:
- Serve as the first point of contact for performance requests from University and community organizations.
- Manage the performance calendar and student availability to ensure scheduling cohesiveness.
- Serve as the student supervisor, coordinate their hiring and training, managing the attendance and time approval for students.
- Work closely with the Athletic Bands Coordinator to maintain and update the student handbook.
- Send invoices, performance agreements, and track payments for gig performances.
- Communicate logistics about events to gig leaders and/or teaching assistants.
- Other duties as assigned.
Key Job Responsibilities:
- Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
- Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
- Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
- Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
- Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures

Compensation:
This is a 12 month, hourly position at 58% time, which equates to about 23 hours per week. The expected starting hourly rate for this position is between $18.36 per hour and $20.00 per hour for highly experienced candidates. Actual pay will depend on experience and qualifications.

Required Qualifications:
- Positive, helpful, customer service-oriented approach to working with faculty, staff, students, and other stakeholders across the school, the university, and outside the UW System.
- Demonstrated ability to prioritize workload, manage multiple projects and deadlines effectively, follow through on tasks, and work unsupervised.
- Previous experience working with a large, complex performing ensemble.
- Proficiency with Google Workspace and various other computer applications.
- Excellent written and verbal communication skills.
- Previous experience managing budgets and billing within an organization.
Preferred Qualifications:
- Previous experience working within a band organization.
Education:
High School Diploma required
