CAPC Program Coordinator
Position Summary
The CAPC Program Coordinator provides administrative support for the Center for Academic & Professional Communication (CAPC) and the Fondren Fellows program. This position involves overseeing day-to-day operations, coordinating departmental functions, managing budgets, and ensuring efficient program administration. The coordinator will collaborate with faculty, administrators, students, and staff to facilitate the smooth functioning of the CAPC and enhance the effectiveness of its programs.
The ideal candidate is an organized and reliable program coordinator, including early-career professionals with experience supporting academic or student-facing programs. They take initiative, manage details carefully, and communicate clearly while juggling multiple responsibilities with students, staff, and faculty. They are diligent about maintaining records, coordinating logistics, and supporting program operations, and they bring good judgment, a collaborative approach, and a steady presence to their work.
Workplace Requirements
This position is exclusively on site, necessitating all duties to be performed in person. Per Rice policy 440, work arrangements may be subject to change.
Hiring Range
This is a full-time, benefits-eligible position. The proposed hiring rate is between $22.00 and $24.50 per hour, depending on qualifications and experience. *Non-Exempt (hourly) positions under FLSA are eligible for overtime.*
Minimum Requirements
- HS diploma or equivalent
- 2 years of related program experience, or administrative experience with some experience coordinating events
- In lieu of the experience requirement, additional related education above and beyond what is required may be substituted on an equivalent year-for-year basis.
Skills:
- Proven proficiency in Word, Excel, and PowerPoint, and an overall comfort with technology, such as programs for communication and instruction
- Knowledge of computers and the ability to move from program to program easily
- Very strong oral and written communication skills
- Must be able to deal professionally with students, faculty, and external contacts
- Excellent organizational and interpersonal skills
- Must be able to work with a minimum of supervision
- Must be self-motivated, self-directed, dependable, and able to take initiative on activities
Preferences
- Associate's degree
- Experience with Rice University faculty, staff, students, and collaborative offices is desirable
Essential Functions
- Implements and administers day-to-day functions of the CAPC, providing support to faculty, administrators, students, and staff
- Coordinates three or more major departmental functions, including the following: program administration, curriculum support, budget/finance, human resources, and communications/outreach
- Collects and compiles data, creates reports, and reviews documents; assists in formulating alternative solutions and/or recommendations
- Reviews policies and recommends changes as needed; assists in developing, revising, and implementing procedures
- Represents a program or function within the department or school
- Performs basic budgeting duties; monitors and approves expenditures
- May supervise staff, tasks, and assignments
- Performs all other duties as assigned
Additional Functions
- Monitors and tracks expenditures to ensure compliance
- Processes supply purchases, stipend payments for outside consultants, and expense reports for supplies, business/entertainment, and travel
- Coordinates with HCM to ensure timely processing and maintenance of personnel paperwork
- Administers scheduling processes for the peer tutor program; creates and contributes to reports related to the peer tutor program
- Greets CAPC visitors, manages the front desk, and monitors meeting spaces
- Manages advertising, space planning, attendance, and evaluation of the CAPC workshop program
- Manages CAPC public-facing technology as well as online scheduling and registration management subscriptions
- Maintains the CAPC and Fondren Fellows websites
- Orders books for and manages the inventory of the CAPC library
- Provides support as needed to the PWC Administration and Finance Manager and the Fondren Fellows Director
- Communicates regularly with Fondren Fellows mentors and students and troubleshoots identified issues
- Helps administer and interpret regular assessments of the Fondren Fellows program
- Coordinates Fondren Fellows events
- Tracks Fondren Fellow hours
