Clerk V - Cape Cod Community College
GENERAL STATEMENT OF RESPONSIBILITIES
The Clerk V provides clerical and administrative support to the Director of the Center for Nursing and Allied Health (CNAH) and the Nursing Program. This role is responsible for coordinating and streamlining administrative operations within both areas, maintaining complex recordkeeping systems, and facilitating communication across faculty, staff, and students. The Clerk V ensures compliance with institutional procedures and contributes to the efficient operation of academic and clinical activities within the Center. The duties and responsibilities of this position require an on-campus presence, Monday - Friday, 12pm - 8 pm.
EXAMPLES OF DUTIES
Center for Nursing and Allied Health (50%)
- Provide clerical and administrative support to the Director of CNAH.
- Coordinate and maintain procedures for simulation scheduling, clinical placement tracking, and documentation workflows.
- Assist with the preparation and tracking of documents for accreditation, program reviews, and grant activities.
- Enter and maintain data in systems such as the Centralized Clinical Placement (CCP) System.
- Maintain documentation related to clinical site evaluations, adjunct faculty assignments, and simulation center usage.
- Schedule and coordinate meetings, training, and events; prepare agendas, minutes, and related materials.
- Maintain organized and accurate filing systems for simulation, clinical partnerships, and accreditation records.
- Prepare requisitions for purchase orders of lab supplies; track supply usage and assist with budget documentation.
Nursing Program (50%)
- Provide general administrative support to nursing faculty and the Director of Nursing Education.
- Answer telephone and email inquiries; direct messages appropriately; respond to routine requests using established procedures.
- Receive and distribute incoming mail and packages.
- Collaborate with other administrative support personnel to coordinate program timelines, events, and communication.
- Maintain organized and accurate paper and electronic filing systems for Nursing Program records.
- Maintain confidentiality of student records and information in accordance with FERPA regulations.
- Recommend improvements to administrative workflows and assist with the implementation of new systems or procedures.
- Perform related work as required.
Job Requirements
MINIMUM QUALIFICATIONS
- (A) Four years of full-time, or equivalent part-time, experience in office work, of which (B) at least one year must have been in a supervisory or administrative capacity, or (C) any equivalent combination of the required experience and the substitutions below.
Substitutions:- A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required (A) experience.*
- A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required (A) experience.*
- A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required (A) experience.*
- A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required (A) experience.*
- *Education toward such a degree or diploma will be prorated based on the proportion of the requirements completed.
- Ability to exercise discretion in handling confidential information.
- Knowledge of FERPA regulations and College policies and procedures or the ability to read and interpret such.
- High level of organizational and communication skills, flexibility, and the ability to work under pressure to meet deadlines with attention to detail and accuracy and handle multiple tasks simultaneously.
- Knowledge of Windows-based software and PC functions. Advanced experience with Microsoft Word, Excel, and PowerPoint, or equivalents.
- Ability to work independently and pay close attention to detail.
- Ability to work equally well with students, administrators, faculty and staff as well as representatives of partner institutions.
- Ability to communicate clearly and effectively, both orally and in writing.
- Unrestricted authorization to work in the United States.
ADDITIONAL PREFERRED QUALIFICATIONS
- Bachelor's degree.
- Experience in a fast-paced, high volume office environment.
- Experience working in a community college setting.
- Preference will be given to candidates who have experience, an appreciation for, and a commitment to, working in a global, multicultural academic setting.
Additional Information
COMPENSATION: $1034.47/week; 37.5 hours/week (Grade 15, Step I). Full time, AFSCME Unit Position; includes participation in a comprehensive employee benefits program. Candidates may qualify for placement above entry-level salary if currently employed in the State system.
