The Claremont Colleges Services (TCCS) is the central coordinating and support organization for a highly regarded cluster of seven independent colleges known as The Claremont Colleges. TCCS, with about 300 staff members, provides exceptional shared services to 9,000 students, and almost 3,600 faculty and staff. TCCS staff work in both student-facing services as well as administrative and operational services. Our numerous departments are located throughout The Claremont Colleges campus in the beautiful city of Claremont, California.

ABOUT THE POSITION:

The Collections Assistant provides loan and other collections services and accounting to members of The Claremont Colleges. This role maintains, processes, updates, monitors, and reconciles loan activity and transactions. This position reviews and processes cash sales and customer invoice payments and prepares bank deposits. In addition, the Collections Assistant is responsible for supporting the policies and procedures and ensuring compliance with institutional guidelines and federal and state regulations.

ESSENTIAL FUNCTIONS:

The following are the essential duties and responsibilities the incumbent must be able to perform.

Loan Collections Services

  • Assist in processing and maintaining loan advances through a third-party billing service or other system(s) in compliance with federal and/or state regulations or institutional policies.
  • Assist in preparing appropriate forms and conducting Exit Loan Counseling Interviews to graduating students and following up with Financial Aid offices on 'no show' students.
  • Forward Exit packets to students leaving the institution.
  • Assist in posting student loan payments.
  • Assist in processing Emergency Loan Requests and distributing funds to the appropriate students.
  • Assist in processing documents for assignment of delinquent accounts to collection agencies, the Department of Education, or other agencies.
  • Assist in processing deferment and hardship requests. Assist in completing and forwarding loan consolidation forms to lending institutions.
  • Assist in sending Promissory Notes to borrowers when loans are paid in full and issue refunds for overpayments, if necessary.
  • Archive and retrieve loan documents to/from the records management system.

Other Collections Services

  • Collect and verify cash/checks received from internal and external constituents.
  • Prepare daily bank deposits by 5pm.
  • Process deposits in financial system.
  • Review electronic fund transfers.
  • Research transactions, respond to inquiries, provide information timely to internal and external constituents.
  • Perform other related duties as assigned.

Work Schedule: The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday through Friday for approximately three months with the possibility of extension. May be required to work holiday, weekend, and/or evening hours. Regular hours may vary due to needs of the organization or business unit. This position is not eligible for a hybrid work schedule.

QUALIFICATIONS:

The following qualifications are required to perform the essential functions of this position, or the individual must be able to demonstrate how the essential functions will be performed (with or without reasonable accommodation) using other qualifications not listed below.

Education: A high school diploma or the equivalent, or a combination of education, training, and experience that provides the necessary knowledge, skills, and abilities. An associate degree with a focus on business courses is preferred.

Experience: No experience is required. Six months of work experience is preferred.

  • Able to learn software and systems used by Financial Services and the third-party loan servicing provider.

Preferred Qualifications:

  • An associate degree with a focus on accounting courses is preferred.

Certification/Licenses:

  • A valid driver's license and satisfactory results on the following post-offer pre-employment driving record check.

COMPENSATION:

Pay: The pay range for this position is $21.50-$23.50 per hour depending on experience.
