The Coordinator, HR Operations is a full-time, 12-month position responsible to the Assistant Director, HR Operations. The Coordinator, HR Operations will be responsible for providing administrative support to the Office of Human Resources. This position will handle a variety of duties, ensuring compliance with HR policies and procedures. The ideal candidate should have strong customer service, organizational, and communication skills, along with a passion for helping create a positive workplace culture.
EXAMPLE OF DUTIES
Primary Responsibilities
- Acts as the first line of support for the Office of Human Resources.
- Greet walk-ins to the Human Resources department, determining reason for their visit and assessing urgency; assist in arranging for the resolution of their request either through scheduling time with the HR professional needed or by providing the information or documents personally.
- Manage the shared HR inbox, ensuring timely and correct response, or by forwarding to appropriate department.
- Answer Human Resources phone lines, assisting with screening calls and taking messages.
- Coordinate logistics, including conference room reservation and media equipment for HR related eventsOrder all office supplies for department and maintain stock of all routinely used supplies.
- Submit purchase orders and requisitions to CHRO for approval.
- Manage the employee offboarding process by checking in keys, technology, badges, and/or other TJC items, and disbursing to correct departments. Complete Verifications of Employment (VOE) and Public Student Loan Forgiveness (PSLF) forms as needed.
- Collect I-9 documents from new employees and complete the E-Verify process. Compile and prepare reports and documents as needed.
- Answers frequently asked questions from applicants, employees, and former employees relative to their application status, onboarding, benefits, HR system inquiries, and standard policies and procedures; refers more complex questions to appropriate staff.
- Oversee personnel file room by guaranteeing documents are filed correctly.
- Maintain confidentiality of all employment information and comply with all mandated privacy requirements.
