Degree Progress Specialist

Purpose

Student & Academic Services (SAS) has an immediate opening for a full-time Degree Progress Specialist in the Office of the University Registrar. SAS is an energetic organization that supports the policies, practices, and systems used by (and to support) Stanford students, faculty, and staff. This position will serve as the first point of contact for student inquiries to the Degree Progress and Program Management team. This role manages the operational functions of the Degree Progress team in areas surrounding student forms, transfer credit, and quarterly business processes such as tuition review and degree conferral. The Degree Progress team is looking for an individual with outstanding organizational skills, keen attention to detail, and who will help improve efficiency and effectiveness in a high volume and fast paced environment.

In this role, you will

  • Manage the review and processing of a high volume of forms related to transfer credit, leaves of absence, and graduation statuses.
  • Become familiar with Degree Progress record management procedures, perform complex data entry, and facilitate changes to student records.
  • Develop familiarity with common Registrar’s Office policy and process, support students and academic department staff in complying with established procedures, and determine escalation as appropriate.
  • Respond daily to inquiries submitted by staff and students, make recommendations, and propose resolutions as a representative of Degree Progress and the Registrar’s Office.
  • Oversee updates to internal documentation as policy or process changes occur across campus, and participate in review and improvement of procedures.
  • Upkeep and audit relevant outgoing communications sent to students and departments on campus in collaboration with other members of the degree progress team and partner offices.
  • Evaluate requests for transfer credit eligibility; including auditing specific courses and managing their fulfillment in a students degree audit.
  • Upkeep the central transfer credit evaluation system with approved articulation and rules. Routinely look for process improvement opportunities to assist in creating a better student experience as it relates to external credit.
  • Perform miscellaneous job-related duties as assigned.

Note: This is a one-year fixed-term position with the potential for extension based on programmatic and operational needs.

MINIMUM REQUIREMENTS

Education & Experience

Bachelor’s degree and two years of relevant experience or combination of education and relevant experience.

Knowledge, Skills, and Abilities

  • Strong written and verbal communication skills.
  • Basic computer skills, including experience with Microsoft Office Suite.
  • Basic analysis and problem-solving skills.
  • Customer service skills.
  • Relevant computer systems/technology experience.
  • Understanding of financial transactions.
  • Ability to learn and understand compliance with legal, financial, and university policies and external regulations.

PHYSICAL REQUIREMENTS

  • Frequently sit, perform desk-based computer tasks.
  • Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.

WORKING CONDITIONS

  • This is a hybrid position which requires 2 days of on-site work per week (currently Tuesday and Thursday) in Stanford’s Redwood City campus.
  • May work extended or non-standard hours based on project or business needs.

The expected pay range for this position is $80,905 - $85,000 per annum
