Position Summary
The Equipment Operations Coordinator plays a crucial role in organizing and maintaining audio and video equipment in the equipment room. Responsible for utilizing our equipment checkout software to track equipment, coordinates reservations, and efficiently manages the check-in and check-out processes for our graduate students. Maintains inventory accuracy by conducting regular audits and promptly reporting any damaged or lost items. Provides general maintenance of equipment, ensuring that it is in optimal working condition. Provides event A/V support for journalism school events, which includes operating wireless microphones, PTZ cameras, projectors, flat-screen TVs, and more. Assists in occasional live streaming and hybrid events, thus contributing to the successful execution of multimedia experiences.

Responsibilities
Equipment Operations & Inventory Management
- Daily Circulation: Oversee the daily check-in and check-out process for students and staff/faculty.
- Equipment Checkout Management: Proactively contact and message students regarding a range of challenges including late or overdue equipment.
- System Administration: Manage the EZOffice Inventory system, including: Creating and tracking assets (Individual Assets vs. Asset Stock).
- Updating asset details including descriptions, item thumbnails, make, model, serial numbers and more.
- User Management: Ensure students can access equipment on the request portal based eligibility.
- Help maintain and troubleshoot the student facing Request Portal to ensure a smooth equipment reservation process.
- Maintenance: Perform weekly inspections and cleaning of cameras, lenses, microphones, tripods, and lighting kits.
- Repair Coordination: Diagnose equipment failures, document issues, and coordinate repairs with vendors or the Technical Operations Manager.
- Space Management: Periodically reorganize the equipment storage system and equipment room layout to improve workflow efficiency.
- Student Support: Provide technical consultation to students regarding best practices for use of audiovisual equipment.
- Documentation: Help produce equipment tutorials, shareable gear lists, and instructional sheets (using Canva or similar) to support student learning and important documentation.
Event Production & A/V Support
- Event Support: Provide A/V setup and troubleshooting (microphones, projectors, cameras, lighting, hybrid interfaces) for staff meetings, faculty instruction, and school events.
- Media Production: Help design technology workflows and produce media content for major school events, such as the Graduation Showcase and Commencement.
Project Management
- Appy project management concepts in combination with AV IT policies and procedures in determining technical support work flow.
- Evaluate external content for compliance with unit and content posting standards.
- Assist in researching and evaluating new technologies.
Required Qualifications

- Physical Capability: Ability to lift and organize heavy production cases and reorganize equipment shelves.
- Crisis Management: Ability to handle high-pressure situations, such as multiple students arriving simultaneously without reservations or troubleshooting malfunctioning technology immediately before a broadcast/event.
- Bachelor's degree in related area and/or equivalent experience/training.
Preferred Qualifications
- Hardware & Audio and Video Production: A background in photography or videography is highly desirable.
- Operational knowledge and proficiency with DSLR, Mirrorless, and Cinema camera systems, lighting and support gear, and microphones (shotgun/lavalier mics etc.) and audio recorders and mixers.
- Instructional & Operational: Prior experience working in an equipment room environment and/or teaching others how to use audiovisual equipment.
- Organizational Systems: Highly organized with the ability to create and maintain efficient systems for inventory and workflow management.

This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
The budgeted hourly range that the University reasonably expects to pay for this position is $35.93 (Step 1) - $39.46 (Step 3). The full pay scale for this classification is $35.93 (Step 1) - $51.75 (Step 9).
- This is a non-exempt, biweekly-paid position.
