Position Summary

The Event Manager is responsible for planning, coordinating, and executing a wide range of campus events that support student engagement, alumni relations, fundraising, and institutional visibility. The manager serves as the lead within the Campus Event Management Office in developing, creating, and maintaining the Campus event management website, and in building and monitoring social media platforms.

Major Responsibilities

Event Planning & Execution

  • Design, plan, coordinate, and manage events for university-wide events, including commencement, orientation, alumni reunion, donor receptions, and student activities.
  • Create and maintain event inventory, computer files, digital templates, and audiovisual requirements is an easy and reportable method.
  • Collaborate with internal departments and external vendors, providing clear and direction communication to ensure seamless execution.
  • Provide information and respond to inquiries from event hosts, attendees, and potential users of SUNY Cortland facilities in an effective and efficient manner to ensure a positive user experience.

Stakeholder Engagement

  • Serve as the primary point of contact for event stakeholders, including faculty, staff, students, alumni, and donors.
  • Lead initiatives to obtain volunteers, marshals, and assistants, as well as provide training and supervision.
  • Coordinate with marketing and communications teams to promote events effectively.
  • Develop and maintain relationships with university departments and offices to assist in the execution of events, including, but not limited to, the Marketing Office, President’s Office, Facilities, University Police Department, Campus Technology Services, Campus Activities, Alumni Engagement, and academic departments.
  • Actively participate in campus and external community committees as needed to build relationships and stakeholder knowledge of the services offered by the Campus Event Management Office.

Social Media and Technology Management

  • Develop and maintain the campus event management website as an overall front-line guest experience, showcasing the campus’ event spaces, technological abilities, and details for how users can book events at SUNY Cortland.
  • Create and implement the marketing and social media plan, including creating graphic elements and materials for all campus event management events according to the SUNY Cortland Style and Writing guides. This includes programs, seating charts, itineraries, scripts, timelines, and checklists in an easy-to-understand format so that all the event details are easily accessible.
  • Collaborate with Campus Event Management Office staff to ensure messaging aligns with the University’s policies and procedures.

Compliance & Risk Management

  • Ensure all events comply with college policies, safety regulations, and accessibility standards.
  • Develop contingency plans for each event.
  • Manage risk assessments and emergency preparedness for large-scale events.
  • Complete all required training to maintain compliance with university policies and state and federal laws.

Budget & Resource Management

  • Prepare and manage event budgets, ensuring cost-effective solutions without compromising quality.
  • Negotiate contracts with vendors and manage procurement of supplies and services.

Post-Event Evaluation

  • Conduct post-event debriefs and evaluations to assess success and identify areas for improvement.
  • Maintain records and reports for institutional use and future planning.

Functional and Supervisory Relationships

  • Reports to the Associate Director of Campus Event Management
  • Assists in scheduling and assigning tasks to event volunteers and student workers

Required Qualifications

  • Bachelor’s degree
  • Two years of professional experience with event management or relevant experience. Relevant experience may include event coordination, event planning, event production, hospitality or venue management, project management, event marketing, or similar roles requiring logistics management, stakeholder coordination, budgeting, and execution of programs or events.
  • Experience with graphic design, website development, and/or various social media platforms
  • Experience supervising volunteers, students, and/or employees.

Preferred Qualifications

  • Master’s degree
  • Experience working within set budgets and maintaining high-level events
  • Supervisory experience with students, faculty, staff, or volunteers
  • Previous event experience working in higher education

Knowledge, Skills & Abilities

  • Demonstrated self-initiative and ability to adapt to a fast-paced and ever-changing environment
  • Demonstrated high level of creativity, resourcefulness, strategic planning, and dynamic decision making
  • Proficient knowledge in Microsoft Office Suite, Adobe Suite, and other software applications
  • Ability to work a non-traditional schedule including nights and weekends
  • Ability to work in a team environment while also being a self-starter
  • Strong organizational skills
  • Strong oral and written communication skills
  • Strong attention to detail
  • Ability to work with a wide range of constituencies in a diverse community
  • Strong problem-solving skills
