Job Description
This Event Support position supports the University through the setup and management of event equipment needs and other related projects. Under the general supervision of the Director of University Events, the Event Support provides manual labor and heavy lifting associated with events (equipment delivery, set-up, monitoring, and breakdown), specialty furniture moves, and other related tasks.
Essential Job Functions and Responsibilities:
Employment duties include, but are not limited to:
- Manage inventory of tables, chairs, AV equipment, and other items used to support university events
- Responsible for the maintenance, organization, and cleaning of equipment as well as making recommendations for replacements as needed
- Perform timely and accurate equipment setup and breakdown for all requested events held on the DeLand main campus and the Sandra Stetson Aquatic Center. This involves the loading and unloading of equipment to and from storage areas and vehicles. This requires walking, bending, reaching, and lifting heavy equipment. Must be able to lift 25 pounds independently and 50 pounds with assistance.
- Coordinate weekly schedules with Event Manager
- Execute unique requests for special events such as furniture assembly, installation of event lighting and decor, and other related tasks as needed
- Conduct site visits to measure area and identify obstacles & variables that may affect job
- Oversee marketing banner locations in Palm Court, including the installation of banners, collection and return of banners to and from the University Events & Conference Services office, and maintenance of existing hanging hardware and equipment
- Supervise student employment staff through necessary training and coordination of event setup needs
- Provide on-site supervision of rowing facility and visiting teams and manage inventory of equipment including moving and storing boats. This requires walking, bending, reaching, and lifting heavy equipment. Must be able to lift at least 25 pounds independently and perform team lifts.
- Perform the setup and breakdown of indoor rowing equipment and on-site event equipment in the Lakeview Room of the Sandra Stetson Aquatic Center for both rowing teams and external clients
- Support summer camp programing through registration support, assisting clients and guests with room assignments, responding to residence hall concerns, and submitting maintenance requests
- Support summer camp check outs and residence hall turnovers by checking rooms for cleanliness and maintenance issues
- Assist with the successful execution of summer camps and external events by providing accurate and on-time setups and ensuring reserved spaces are unlocked and accessible
- Install floor covering on gym floors as requested for events. This requires walking, bending, pushing, and pulling.
- Engage with on-site event organizers to confirm set-up arrangements and adjustments as needed
- Communicate effectively in English (written and verbal) with a variety of internal and external stakeholders
- Present self in a professional manner with attention to personal appearance
- Report hazardous conditions and facilities in need of repair to appropriate staff, which may include submitting or recommending work orders and checking supply levels; when working within on-campus residential buildings, responsible for reporting concerns related to on-campus residents
- Respond to student and other user groups' concerns in a supportive, professional, timely, and problem-solving manner
- Participate in training, maintaining the skills necessary to utilize best practices, and participates in quality improvement teams as assigned
- Promote continuous improvement of workplace safety and environmental practices. This position requires the completion of "Protection of Minor Children" training.
- Assist in on-the-job training of new staff on routine procedures
- Establish and maintain effective working relationships with fellow employees, students, and the university community
- Abide by and comply with university policies and procedures
- Perform special and other assignments as directed
- Assist with or performing light maintenance tasks such as replacing light bulbs, adjusting furniture, or other similar activities. This may require the use of stepstools or ladders to reach high places
Required Knowledge, Skills, and Abilities:
The knowledge, skills, and abilities for this role include:
- Ability to understand and carry out written and oral instructions in English and to perform routine duties without immediate supervision
- Ability to use a variety of equipment in a safe manner, according to manufacturer's specifications
- Ability to operate utility vehicles while pulling trailers, box trucks, and other university vehicles in a safe manner
- Ability to safely operate pressure washers and associated cleaning tools, power equipment, and other trade-applicable equipment
- Ability to apply recognized standards of good practice relevant to matters of safety, security, and event tasks
- Ability to effectively plan and coordinate multi-task requirements and meet self and pre-imposed objectives and deadlines
- Ability to establish and maintain effective working relationships with co-workers, students, the university community, and external clients
- Ability to walk, climb stairs, and provide manual labor necessary to fulfill job functions. Many buildings have multiple floors with stairs and no elevators
- Ability to work in environments with extreme temperature and humidity common in Florida. Frequently performs work outside and may work in buildings without air conditioning, heating, or other comforts. May work in areas that are dusty, noisy, and areas that may have unpleasant odors.
Required Qualifications:
This position requires:
- Minimum high school diploma or GED preferred but not essential with appropriate experience
- One (1) year of experience in event setup work, experience in a fast-paced multi-building campus environment preferred, or an equivalent combination of experience and training
- Must possess and maintain a valid driver's license and an acceptable driving record as determined by the University's auto insurance carrier.
Pay Grade: 4
Work authorization sponsorship may be available for this position. However, sponsorship is contingent upon the non-applicability of the visa petition fees outlined in the relevant Executive Order signed September 19, 2025. Due to the recent federally-mandated increased financial expense, the university is not in a position to absorb this significantly increased cost of sponsorship for new H-1B petitions at this time.
