Executive Administrative Assistant to the President

The Executive Administrative Assistant to the President provides high-level administrative, organizational, and operational support to the President of the College. This individual serves as a trusted partner and key liaison between the Office of the President and internal and external constituencies, ensuring the President’s time and priorities are managed effectively. The successful candidate will demonstrate exceptional judgment, discretion, professionalism, and a deep commitment to the mission and values of a small, selective liberal arts college.

This role is a full-time, hourly position with a starting wage range of $21.64 to $26.45 per hour.

1. Executive Support

  • Manage the President’s calendar, appointments, and travel arrangements with accuracy and foresight.
  • Prepare briefing materials, correspondence, reports, and presentations for meetings, events, and internal and external engagements.
  • Anticipate and proactively address scheduling conflicts, communications needs, and follow-up actions.
  • Handle sensitive and confidential information with discretion and professionalism.

2. Board and Institutional Support

  • Coordinate logistics and materials for meetings of the Board of Trustees and its committees in collaboration with the Vice President for Development and Alumni Engagement and other members of the Senior Staff.
  • Prepare agendas, compile board books, and track follow-up items as assigned.

3. Communications and Liaison

  • Serve as the first point of contact for the Office of the President, providing a professional and welcoming presence for visitors and callers.
  • Communicate effectively on behalf of the President with faculty, staff, students, trustees, alumni, and other external stakeholders.
  • Draft, proofread, and edit correspondence, memos, and official communications.
  • Collaborate closely with the offices of Development, Academic Affairs, Student Life, Athletics, Human Resources, Finance, and others to ensure alignment across institutional priorities, and on-going communications to ensure the President’s Office has the needed information about events and guests.
  • Demonstrate an appreciation for and sensitivity to an inclusive academic community, fostering a welcoming environment for students, faculty, and staff from all social, economic, cultural, ideological, racial, and ethnic backgrounds.

4. Event and Project Coordination

  • Assist in planning and executing presidential events, including campus receptions, special visits, and community gatherings.
  • Support special projects and initiatives as assigned, often involving cross-campus collaboration.
  • Employ project management systems to track progress, manage timelines, and support institutional initiatives under the direction of the President.

5. Office Management

  • Oversee the reservations for conference rooms in Old Centre and guest cottages.
  • Prepare monthly billings for guest cottages.
  • Manage and reconcile budgets related to the Office of the President, including procurement / travel cards, event expenses, and travel reimbursements.
  • Supervise student worker(s).

Required:

  • Bachelor’s degree or equivalent combination of education and experience.
  • Minimum of five years of progressively responsible administrative experience, preferably in higher education or a similarly complex organization.
  • Demonstrated ability to handle confidential information with discretion.
  • Excellent written and verbal communication skills, with strong attention to detail and accuracy.
  • Exceptional organizational and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Proven ability to exercise independent judgment and maintain professionalism in interactions with diverse stakeholders.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with digital collaboration tools (Google Workspace, Zoom, Microsoft Teams, etc.).

Preferred:

  • Experience supporting a senior executive, board, or president in a higher education or nonprofit setting.
  • Familiarity with the culture, mission, and operations of a liberal arts college.
  • Event planning and project management experience.

Physical Requirements

  • Limited pushing, pulling, lifting. Lifting would not exceed 20 lbs.
  • Mobility on campus necessary. Ability to stand for extended periods of time.
  • Visual acuity to read computer screens and reports.
  • Ability to work nights and weekends, as necessary.
