Job Description
Provide staff assistance to one or more directors and associate directors within the Division of Information Technology.
Maintain the director’s calendar. Screen, prioritize, and independently follow up on a heavy-volume of phone contacts, information, and appointment requests, using own knowledge and judgment regarding appropriate action.
Communicate directly with management, staff, other executive staff members and their support personnel, vendors/external parties, and information technology organizations on behalf of the director.
Assist in the administration of the directors’ offices. Coordinate meetings sponsored by the director, preparing arrangements, presentation materials, creating and distributing agendas and taking/publishing meeting minutes.
Brief the director on meeting topics or emerging campus concerns. Monitor and observe, by appropriate means, various aspects of departmental operations and administration and appropriately makes recommendations for changes and improvements. Handle very confidential and sensitive
information, some of which is of a complex nature.
Resolves problems from information that is not readily available and that requires research in order to make recommendations, some of which may be financial or budgetary. Extensively utilizes a variety of software to create materials ranging from correspondence to graphs, charts, and slide
presentations.
Set up conferences, conference calls, and other meetings involving outside constituents, faculty, and campus administration. Maintain files. Other duties as assigned/required.
Shift
Monday - Friday, 8am - 5pm
Minimum Qualifications
A Bachelor’s degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired is necessary.
Preferred Qualifications
Three years of related experience in business administration, personnel administration or higher education administration is necessary. Incumbent must have advanced verbal and written communication skills; be expert in the use of MS Office applications, including Outlook; be able to handle sensitive information and difficult powerful individuals effectively. Be able to develop professional quality communications.
Anticipated Hiring Range
Salary Range: $18.87 - $23.80 Commensurate with experience
Grade: GGS-008
