Bond University Executive Assistant Expression of Interest: What You Need to Know

Why Bond University Runs an Expression of Interest for Executive Assistants

Bond Uni Jobs on AcademicJobs

Most expression of interest ads are a black hole. You upload a resume, never hear back, and six months later the same ad is still live. This one at Bond University is worth a closer look, but only if you understand what you're actually signing up for.

Bond University has posted an Executive Assistant – Expression of Interest on its careers site. The listing signals that the university is building a pipeline of candidates for current or future EA vacancies across its Gold Coast campus. That's not a formal job offer yet. It's an invitation to put your name in front of the people who will hire when a role opens.

Why Bond University Runs an Expression of Interest for Executive Assistants

Bond University is a private not-for-profit university on the Gold Coast, Queensland. It runs three semesters a year, which means administrative workloads don't follow the standard academic calendar. An expression of interest lets the university keep a shortlist of vetted candidates without advertising every time a vacancy appears.

Bond's compact campus and smaller administrative teams mean executive assistants often work across functions. You might support a faculty dean and also help with university-wide events. The EOI is likely seeking people who can handle that breadth without needing a long onboarding period.

For you, the EOI is a chance to get on that list before a job is even advertised publicly. The downside is there's no guarantee a role will open. Treat it as a pre-screening round, not a job application. The university is looking for candidates who can start quickly when a faculty, school, or central unit needs executive support.

What a University Executive Assistant Does That a Corporate EA Doesn't

In a university, the executive assistant often sits across two worlds: corporate administration and academic governance. You might be booking travel for a professor one day and compiling board papers for a faculty committee the next. The role typically involves diary management for senior leaders, drafting correspondence, coordinating meetings with multiple calendars across time zones, and maintaining confidentiality around sensitive staffing or student matters.

You'll prepare agendas and minutes for committees, chase action items from academic staff, manage inboxes for senior leaders, coordinate travel for conferences and field trips, and sometimes handle student-facing queries when someone else is out. The role also includes budget tracking for office expenses and event logistics for open days, graduations, and research showcases.

Bond's trimester system creates three intense administrative peaks each year. Time management and the ability to reprioritise quickly matter more than in a standard semester university. You'll also work within university policies and enterprise agreements, which differ from private-sector employment contracts. If you've supported executives in a corporate setting, expect a steep but manageable learning curve around academic governance, committee cycles, and the pace of university decision-making.

How to Make Your Expression of Interest Stand Out

Here's the part most candidates get wrong: they submit a generic resume and a two-line cover note saying they're interested. That's a wasted click.

  1. Read the full position description on Bond's site and mirror its language back. If the ad asks for committee support, say committee support, not 'administrative duties'.
  2. Show you understand the university context. Mention trimester peaks, academic governance, or working with academics if you have that background.
  3. Quantify your calendar load. Instead of 'managed diaries', say 'coordinated schedules for three directors across 12 time zones'.
  4. Write a short EOI letter, not a cover letter. Two or three paragraphs: why Bond, what you bring, what you want to do in the role.
  5. Submit early. EOI pools are often reviewed on a rolling basis; being first has an advantage.

Don't send a resume that lists every job you've had since high school. Keep it to the last ten years and tailor the top half to the EA role. If you've worked in higher education before, say so in the first sentence of your EOI letter. If you haven't, connect a transferable skill—minute taking, governance support, complex diary management—to a university setting. You can see the full listing on AcademicJobs at the executive assistant expression of interest page.

What Happens After You Submit

The expression of interest is not a fixed-term application. Universities use these pools to move quickly when a role is approved. If you haven't heard in eight weeks, it doesn't mean no—it means the role hasn't opened yet. Bond may contact you for further information, invite you to an interview, or keep your resume on file for future vacancies.

If you're called for an interview, expect questions about how you handle competing priorities during peak periods, your approach to confidential information, and your comfort with university policies. You might also be asked to complete a short skills test for diary management or document formatting.

For broader Australian employment data on the secretarial and administrative occupation group, the National Skills Commission's Labour Market Insights profile shows steady demand and moderate future growth. That means you're not sitting in a dying field—you're in a competitive one where a well-timed EOI can get you ahead of the queue.

The Uncomfortable Truth About EOI Pools

Universities sometimes run EOI campaigns to test the market without committed headcount. That wastes your time if you're waiting by the phone. Don't do that. Apply, then keep applying elsewhere. The strongest candidates treat an EOI as one channel among several.

Keep your LinkedIn current, check the Bond careers page fortnightly, and apply for specific advertised vacancies when they appear. A talent pool is not a job offer. Seek's career advice on expressions of interest explains the same reality from a candidate's perspective: an EOI should be part of a broader search, not the whole search.

Bond University advertises specific EA vacancies when funding is confirmed, so the EOI pool is not a substitute for applying to those. Check the Bond careers page every two weeks and set a job alert if the site allows. The EOI is a head start, not a finish line.

This week, do one thing: open the Bond University ad, read the position description, and write a two-paragraph EOI that names the exact skills you'd bring to a university EA role. Send it. Then go find two other jobs you'd actually take and apply for those too. Waiting on an EOI is a plan to wait. Don't.

Frequently Asked Questions

📌What is an expression of interest for a job?

An expression of interest, or EOI, is a way for an employer to collect details from potential candidates before a specific role is advertised. You submit your resume and a short statement saying why you'd be a good fit. The employer keeps your details on file and may contact you when a vacancy opens.

📝Is this a permanent job at Bond University?

No. This is an expression of interest for future executive assistant roles, not an immediate vacancy. Bond University may use the EOI pool to fill temporary, contract, or ongoing positions when they become available, but applying does not guarantee a job offer.

📍Where is Bond University located?

Bond University is on the Gold Coast in Queensland, Australia. It is a private not-for-profit university with a compact campus. The executive assistant roles would be based at the main campus in Robina.

🎓What qualifications do I need for an executive assistant role at a university?

Most executive assistant roles at Australian universities require a certificate or diploma in business administration, or equivalent experience. Strong skills in diary management, minute taking, and Microsoft Office are usually more important than formal qualifications. Some roles may ask for experience supporting senior leaders in a large organisation.

💼How do I apply for the Bond University executive assistant EOI?

You apply through the Bond University careers portal using the link in the job listing. Submit your resume and a short expression of interest letter that addresses the skills and experience the university is looking for. Make sure you tailor your documents to the university context.

📊What does an executive assistant do at a university?

A university executive assistant supports senior academic or administrative leaders. Duties often include diary management, drafting correspondence, coordinating committee meetings, taking minutes, booking travel, managing budgets for office expenses, and handling confidential matters. At a trimester-based university like Bond, you also need to manage three peak administrative periods each year.

📅Is there a closing date for the expression of interest?

Expression of interest ads often remain open for an extended period or until a suitable talent pool is formed. Check the Bond University careers page for the latest status and any specific closing date noted on the listing.

🌏Do I need to be in Australia to apply?

You can apply from anywhere, but you must have the right to work in Australia before starting. Bond University will not sponsor visas for an executive assistant expression of interest unless a specific vacancy states otherwise. Check your visa status before applying.

💰What salary can I expect for a university executive assistant role in Australia?

Salaries for university executive assistants in Australia vary by level, institution, and enterprise agreement. Check the current Bond University enterprise agreement or the specific job ad when a vacancy is advertised for accurate salary information. General market data shows demand remains steady for skilled administrative professionals.

⏳How long does the EOI process take?

There is no fixed timeline. You might hear from Bond University within a few weeks if a role is already open, or you might not hear for several months until a vacancy is approved. Treat the EOI as one part of a wider job search rather than waiting for a response.

📬Can I apply for multiple roles at Bond University?

Yes. If Bond University advertises a specific executive assistant vacancy, you should apply for that role separately in addition to submitting an expression of interest. The EOI pool does not replace formal applications to advertised positions.

🔍What if I don't hear back after submitting an EOI?

Not hearing back does not mean your application was rejected. EOI pools are often reviewed only when a vacancy opens. Continue applying for other roles and update your details with Bond if your circumstances change.
