The Opportunity: The Executive Assistant I provides comprehensive, high-level administrative and operational support within the Office of the President. This role is responsible for performing a wide range of duties in support of the Office of the President and Division of University Strategy.
This role requires exceptional time-management skills, attention to detail, professionalism, and skill in assessing priorities, focusing on high-impact tasks, and adapting quickly to changing needs to ensure timely, effective outcomes. Serves as Campus Security Authority (CSA).
Position is in-office located in Stephenville, Texas with work hours of Monday to Friday from 8AM to 5PM or as work requirements indicate which may include occasional afterhours, evenings, and weekends.
Key Responsibilities:
Confidentiality and Discretion
- Ensure all matters are executed with the highest confidentiality and professionalism, exercising sound judgment in managing sensitive information.
- Serve as backup to the Executive Assistant to the President when needed and provide collaborative support across the executive leadership team.
- Supervise student workers, including scheduling, task coordination, and daily oversight. Manage student worker hiring and onboarding processes.
- Process payments, contracts, invoices, monthly bills, and expense reports in compliance with institutional policies.
- Reconcile accounts, monitor expenditures, and maintain accurate fiscal records to support effective financial oversight and reporting.
- Manage purchasing activities for the executive office, including procuring supplies and services and tracking inventory.
- Process account maintenance documentation and related financial records as needed.
- Manage and prioritize executive communications, including oversight of shared email inboxes, incoming correspondence, and document tracking to ensure timely routing and response.
- Prepare, review, and format official communications and materials requiring the President’s review and signature, ensuring accuracy and adherence to established standards.
- Track institutional memberships, memoranda of understanding, press releases pending approval, and other executive action items.
- Maintain calendars and planning tools to support coordination across leadership.
Required Education and Experience:
- Bachelor’s degree in applicable field or equivalent combination of education and experience.
- Three years of related experience.
- Knowledge of word processing, spreadsheet, and presentation applications.
- Ability to multitask and work cooperatively with others.
- Interpersonal and communication skills.
- Planning and organizational skills.
Salary: Commensurate with experience
Salary Range: The target base annual salary range is $44,000 up to $55,550.50 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
