General Schedule and Primary Work Location:
This position typically works 8:00 am to 5:00 pm, Monday through Friday at UCO's main campus in Edmond, Oklahoma. Some evenings, weekends, and off-site work may be required.
Position Overview:
Provides advanced administrative support to the President by compiling information, preparing reports, handling information requests, and performing relevant administrative support functions. Maintains confidentiality of the university administration by exercising discretion in communicating information to faculty, staff, and students. Receives, interprets, and ensures requests for action or information are relayed to the appropriate personnel. Coordinates collection and preparation of operating reports, such as budget expenditures, and statistical records of performance data. Performs work under minimal supervision. May act as a lead or first-level supervisor to other support staff (may also supervise students).
Department Specific Essential Job Functions:
- Serves as administrative support in the Office of the President
- Safeguards the confidentiality of University administration by exercising discretion in communicating information to the Cabinet, Deans, Faculty, Staff and the various public officials served by the University and in handling confidential items and information.
- Works closely with the Executive Assistant to the President to relieve the President of operational and administrative details and manages administrative functions that require a thorough knowledge of university policies, procedures, and operations and an understanding of the University's role within the community.
- Assist in development, management, analysis, and review of annual office budget planning, identify operational needs, and make the necessary budget reallocations.
- Promotes a positive image of the University by greeting and receiving visitors to the President's Office, responding to inquiries from a diverse public (students, parents, faculty, staff, legislators, alumni, the media and public and private officials) providing information regarding University policies or decisions, referring inquiries or problems to the appropriate office or person, resolving problems, and following up to determine the inquirer's satisfaction with the response.
- Assists in facilitating the success of events hosted by the President's office by scheduling events with appropriate offices and agencies, advising/contacting participants or invited guests, preparing agendas and programs, arranging for audiovisual and associated support equipment, using independent judgment regarding event alternatives, modifications, or last-minute changes, and coordinating or providing support during the events.
- May serve as event coordinator for various functions of the President's Office including Regents Meetings and Dinners, Campus Buildings and Grand Openings, Legislative Receptions, President's Holiday Parties, Faculty/Staff Meetings, etc.
- Works with the Finance and Operations office with the collection and presentation of the monthly RUSO board letter.
- Serves as the Building Captain for Old North.
- Other duties as assigned.
Qualifications/Experience Required:
Requires a bachelor's degree in job related field plus 5+ years of work experience or equivalent combination of education and experience.
Knowledge/Skills/Abilities:
- Knowledge of executive-level office procedures and organizational practices.
- Strong computer proficiency in Microsoft Office Suite and other relevant software applications (word processing, spreadsheets, database/other systems).
- Excellent telephone etiquette and strong written and verbal communication skills.
- Strong organizational, public relations, and interpersonal skills; able to work effectively with others.
- Proficient in operating standard office equipment and technology.
- Ability to manage multiple priorities with strong attention to detail.
- Demonstrate a warm and caring professional service-oriented attitude.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Ability to perform effectively in fast-paced, high-pressure environments.
- Self-motivated with the ability to interpret and execute directives independently.
