Executive Assistant
Position Purpose

The Executive Assistant performs advanced, diversified and confidential administrative duties in support to the Planning, Design & Construction department in reaching its goals. The EA manages and oversees all administrative procedures and processes required to successfully manage the portfolio of project work overseen by the PD&C group.
Job Qualifications and Competencies
- Associates degree and five (5) years administrative experience in a similar professional environment, or equivalent combination of education and experience in a related field.
- Initiative and judgment to solve work-related problems and prioritize.
- Proficient in scheduling, Google Mail, Google Calendar, Google Drive, Word, PowerPoint, Excel, FileMaker Pro, Project
- Ability to research, analyze, and summarize information.
- Ability to foster a collaborative, team-centered environment.
- Excellent communications skills.
- Excellent time management skills.
- Excellent organizational skills.
- Excellent customer service skills.
- Ability to handle high level administrative issues with discretion, timeliness, and sound judgement.
- Requires knowledge of office practices, procedures and equipment, including filing systems, receptionist and telephone techniques, and letter and report writing.
- Sufficient knowledge of proper English usage, grammar, spelling, and punctuation to prepare professional correspondence and reports.
- Ability to receive and properly control sensitive, confidential, and private information.
- Ability to learn, interpret, explain and apply knowledge of department organization, operations, programs, functions, and special terminology used in the organization unit.
- Ability to plan, organize and prioritize work in order to meet schedules and timelines.
- Ability to work as contributing member of a team, work productively, patiently, and cooperatively with other teams and external customers.
