Executive Assistant
SCHOOL/UNIT DESCRIPTION:
The Freeman Spogli Institute for International Studies (FSI) is Stanford University's primary interdisciplinary research and teaching institute on international policy and international affairs. FSI produces scholarships, teaches and trains future leaders and scholars in international studies, and informs and influences policy making around the world.
POSITION SUMMARY:
The Executive Assistant provides high-level administrative and operational support to Dr. Michael McFaul at the Center for International Security and Cooperation (CISAC) at Freeman Spogli Institute for International Studies (FSI). Serving as a key representative of Dr. McFaul's schedule and programs, this position manages complex and dynamic scheduling, coordinates high-profile meetings and events, oversees domestic and international travel, and ensures smooth communication with internal and external stakeholders. The role requires exceptional judgment, discretion, and the ability to anticipate needs in a fast-paced, high-visibility academic environment.
In addition to day-to-day executive support, the Executive Assistant independently manages a portfolio of projects on behalf of Dr. McFaul, including the programmatic and administrative responsibility for the Great Power Competition (GPC) project, a multi-year research initiative housed within the Center for International Security and Cooperation (CISAC). In this capacity, the Executive Assistant coordinates research activities and deliverables, organizes workshops and convenings, supports program communications, and assists with maintaining timelines and workflows across collaborators.
The Executive Assistant will also provide executive-level support to the GPC faculty lead, including managing a dynamic calendar, coordinating high-level meetings, preparing correspondence and materials, and arranging complex travel. Additional responsibilities include monitoring program-related budgets, coordinating student and contingent hires, and serving as a primary administrative point of contact for internal and external partners.
The initial appointment will be a 2-year fixed term with the possibility of renewal, depending on business needs.
CORE DUTIES:
- Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature.
- Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budget.
- Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
- Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
- Create complex reports and spreadsheets which may utilize specialized software and systems.
- Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.
- Coordinate and monitor routine maintenance services completion. Plan and coordinate office moves and/or minor renovation projects.
- May lead staff or supervise day-to-day work of student and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input

MINIMUM REQUIREMENTS:
Education & Experience:
High school diploma and four years of administrative experience, or combination of education and relevant experience.
Knowledge, Skills and Abilities:
- Advanced computer skills and demonstrated experience with office software and email applications.

PHYSICAL REQUIREMENTS*:
- Constantly perform desk-based computer tasks.
- Frequently sitting.
- Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
- Rarely twist/bend/stoop/squat, kneel/crawl.

Hybrid:
The expected pay range for this position is $39.20 to $45.56 hour.
