Job Summary

The Executive Assistant to the Vice President for Information Technology and Institutional Research is an essential position that provides high-level administrative, operational, and budgetary support to the Vice President for Information Technology and Institutional Research. This role supports the effective operation of the VP's office through executive support, schedule and travel coordination, meeting and event planning, search coordination, and office management in a fast-paced environment.

The Executive Assistant plays a key role in budget support, including reconciliation, reporting, expense forecasting, and tracking, as well as initiating and processing requisitions in accordance with GGC administrative processes and applicable USG, state, and institutional policies. The position serves as the primary administrative contact for the VP's office, maintains a high level of confidentiality and discretion, and supervises junior administrative staff and/or student assistants.

Responsibilities

  • Represent the Office of the Vice President exercising professional judgment and discretion in responding to internal and external contacts; resolve routine issues independently and escalate matters as appropriate.
  • Provide comprehensive executive support, including complex calendar management, executive communications, meeting preparation, and follow-through on action items to maximize the VP's effectiveness.
  • Serve as the primary point of contact for the VP's office; triage requests, route inquiries, and ensure timely coordination and resolution with campus partners and external stakeholders.
  • Coordinate travel for the VP and leadership team members in alignment with GGC administrative processes and applicable policies.
  • Manage budget support activities, including processing invoices and expense reports; ensuring accurate reconciliation and documentation; and supporting compliance with state, USG, and institutional requirements.
  • Monitor spending patterns, project upcoming expenses, maintain accurate records of salary reserves, and provide routine financial updates to the VP to support budgeting and staffing decisions.
  • Prepare regular operational and financial summary reports for the VP, highlighting projected expenditures, variances, salary reserve status, and key risks or deadlines.
  • Coordinate activities related to searches and hiring, including scheduling interviews, coordinating candidate logistics and communications, and supporting onboarding and related administrative processes.
  • Plan and execute office meetings and events including preparation of materials; manage office operations and records; supervise junior administrative staff and/or student assistants; and perform other duties as assigned to support the effective operation of the VP's office.

Required Qualifications

  • 4 Year / Bachelor's degree from an accredited college or university
  • 5-8 years of progressively responsible administrative professional experience
  • Equivalent combination of education and relevant experience may be considered

Preferred Qualifications

  • 5-8 years of progressively responsible administrative professional experience, preferably in higher education or a complex, mission driven-driven organization
  • 3+ years of experience providing budget or financial support (e.g., tracking expenditures, reconciliation, reporting, or forecasting)
  • Proficiency with Microsoft 365, with emphasis on Excel (financial tracking/reporting) and Outlook (calendar management)
  • Experience using enterprise administrative systems such as PeopleSoft, with the ability and willingness to adapt to a future transition to Workday
  • Comfort working with procurement, travel, and financial workflows in an ERP environment
  • Experience supporting senior-level leadership (VP, C-level, or equivalent)
  • Experience coordinating searches, hiring, or onboarding processes
  • Experience with supervision of administrative staff and/or student assistants
  • Experience managing shared calendars and resources
  • Experience providing customer-focused administrative support in a fast-paced environment
  • Demonstrated experience exercising discretion and maintaining confidentiality with sensitive information

Proposed Salary

56,800 - 71,000

Salary offer will be dependent on candidate's experience and qualifications, internal equity considerations, budget availability, and salary administration guidelines.
