About UNSW

UNSW isn’t like other places you’ve worked. Yes, we’re a large organisation with a diverse and talented community; a community doing extraordinary things. Together, we are driven to be thoughtful, practical, and purposeful in all we do. Taking this combined approach is what makes our work matter. It’s the reason we’re one of the top 20 universities in the world and a member of Australia’s prestigious Group of Eight. If you want a career where you can thrive, be challenged and do meaningful work, you’re in the right place.

Why Your Role Matters

The Executive Assistant to the Vice-President Societal Impact, Equity and Engagement plays a critical role in supporting the success and impact of the Division of Societal Impact, Equity and Engagement (SIEE) at UNSW.

This is not a traditional Executive Assistant role. Working in a fast-paced, high-profile and strategically important environment, you will act as a trusted partner within a small, high-performing team supporting the Vice-President. Together with the VP’s Senior Advisor, you will help manage priorities, reduce executive cognitive load, and ensure the smooth and effective operation of the Office of the Vice-President.

You will bring a proactive mindset, anticipating needs, coordinating competing demands, and continuously identifying opportunities to improve how the office operates, while delivering high-quality executive support across complex calendars, communications and logistics. Your ability to build trusted relationships, exercise sound judgement, and collaborate effectively across the University and externally will be key to your success.

Key Responsibilities

  • Provide high-level, proactive executive support to the Vice-President, managing priorities and commitments in a complex environment.
  • Manage complex diaries, emails, meetings and communications with professionalism and discretion.
  • Prepare high-quality correspondence, presentations, briefing papers and reports with strong attention to detail.
  • Coordinate meetings and committees, including agendas, briefing materials, minutes and follow-up actions.
  • Build strong working relationships with senior leaders, Executive Assistants, University stakeholders and external partners.
  • Manage travel arrangements, finance administration and day-to-day office operations.
  • Identify and implement opportunities to improve processes, workflows and ways of working
  • Support projects, initiatives and other priorities as required.

Who You Are

You are an experienced Executive Assistant who thrives in a dynamic, high-performing and collaborative environment. You are proactive, adaptable and calm under pressure, with the confidence to manage complexity and build trusted relationships across all levels of an organisation.

You are someone who enjoys being a true partner to senior leaders - anticipating needs, making informed recommendations, solving problems and helping others operate at their best. You take pride in delivering work to a high standard and are always looking for ways to evolve and improve how things are done.

You will bring:

  • Experience providing executive support within a large and complex organisation.
  • Exceptional organisational skills and the ability to manage competing priorities in a fast-paced environment.
  • Strong written communication and presentation skills with excellent attention to detail.
  • Sound judgement, discretion and professionalism when managing sensitive and confidential matters.
  • A proactive approach, with the ability to anticipate needs and make informed recommendations.
  • Excellent interpersonal skills and the ability to collaborate effectively with diverse stakeholders.
  • Advanced computer literacy, including proficiency in the Microsoft Office suite.
  • Flexibility, adaptability and a commitment to delivering best-practice executive support.
