Your Role on the Team
The Executive & Communications Specialist for the Department of Family Medicine oversees daily and long-range activities and projects for the Department Chair, Division Chief of Geriatrics, and Department Administrator.
The incumbent is responsible for various duties including executive support for department leadership, development of department communications, and serves as a project manager on various initiatives.
Incumbent will use independent judgement and have a high level of organizational skills as this position is under general supervision. This position handles sensitive and confidential executive level correspondence, including, but not limited to, patient care, department management, research, and recruitment.
The applicant must possess solid communication and interpersonal skills to communicate effectively verbally and in writing and have a keen awareness of organizational politics, tact, and diplomacy.
Incumbent will serve as the public relations contact for all department matters and represent the department at various meetings. Incumbent will manage all community outreach efforts and will engage in various community projects to build external relationships.
The Executive & Communications Specialist will provide executive level support to the Chair, Chief, and Department Administrator, including purchasing, reimbursement, and travel arrangements. The incumbent will also be responsible for the department newsletter, website, and social media. This position works closely with Advancement on fundraising campaigns for the department. The incumbent must demonstrate good judgement in selecting methods and techniques for obtaining solutions.

Required:
- Knowledge of common organization- or research-specific and other computer application programs.
- Strong communication and interpersonal skills to communicate effectively, both verbally and in writing.
- Ability to use discretion and maintain all confidentiality.
- Analytical / problem-solving skills.
- Strong skills in analyzing, researching and synthesizing large amounts of data for preparing sound and relevant proposals / analyses.
- Ability to multi-task with demanding timeframes.
- Strong policy analysis techniques.
- Solid communication and interpersonal skills to communicate effectively with all levels of staff. Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, and website design.
- Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
- Strong skills in short-term planning analysis, problem-solving, and customer service.
- Bachelor's degree in related area and / or equivalent experience / training
- A minimum of 5 years of relevant work experience.
