Job Description:
GENERAL STATEMENT OF DUTIES:
The Facilities Project Assistant is primarily responsible for the support of capital projects and planning initiates at Framingham State University. The position has involvement in the planning, execution and monitoring of construction, renovation and maintenance projects. Key duties include coordinating vendor schedules, tracking project budgets and deliverables, maintaining documentation, conducting site walkthroughs and acting as a liaison between management, contractors, and staff. The position will also provide design and drafting services to the Facilities and Capital Planning Department. The ideal candidate possesses the ability to manage multiple tasks and deadlines independently, strong verbal and written communication skills, and knowledge of software tools for scheduling and design/construction documentation.

Under the direction of the Director of Capital Projects and Planning, or designee.

EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:
- Perform assigned tasks as well as on-site activities in support of facilities and capital maintenance and renovation projects
- Perform filing, copying, and general office duties, including answering the phone for intake of work orders
- Prepare spreadsheets using Excel for project and budget-related data collection/reporting
- Use Microsoft Office Suite to prepare documents and presentations
- Support full-time staff with on-site project tasks, including photography, measurements, meeting with contractors, communicating with campus personnel, and project status checks
- Maintain as-built drawings, documentation, operations and maintenance manuals, and archives
- Develop scaled drawings/diagrams using CAD software for distribution to in-house trades staff
- Communicate with members of the campus community and/or vendors onsite, by phone or email on specific issues as directed by Director of Capital Projects and Planning
- Provide backup clerical support in the office during emergency or absences
- Other duties as assigned
Special Working Conditions/Physical Requirements: Campus office environment; walking campus to various project sites. Will include working conditions at construction sites where personal protective equipment is required. Will work in mechanical, electrical, and pump rooms, in addition to an active steam fired boiler plant. May be required to climb ladders and work on building rooftops.
WORKING CONDITIONS:
On-site; T-W-TR, 9:00 am - 3:00 pm (hours flexible based on assignment)
Requirements:
MINIMUM QUALIFICATIONS:
- Associates degree in architecture, business/facilities/construction management, or relevant related field; progress and/or current enrollment in an undergraduate or advanced degree program may be considered towards this experience
- Experience with design drafting software, such as AutoCAD and SketchUp
- Experience using Microsoft Office or Google Workspace suite of products
- Good organizational and time management skills
- Ability to effectively communicate via written and oral communication
- Ability to drive or walk to project work sites
- Ability to maneuver safely on work sites
- Ability to follow-through on assignments with minimal supervision
- Ability to work successfully in a diverse community
- Possession of a current valid driver's license
PREFERRED QUALIFICATIONS:
- Valid OSHA 10 certification
- Familiarity of the Massachusetts State Building Code and its relevant applications
- Bilingual proficiency (Spanish or Portuguese) is a plus
Additional Information:
This is a part-time, non-benefited contract position, not to exceed 18 hours per week. The scheduled hours are flexible. The pay rate is $25 per hour.
