Position Summary:

Reporting to the Senior Associate Dean, the role provides dedicated coordination and follow-through for faculty awards by supporting communication with faculty and nominators, coordinating timelines and required components across departments, and serving as a consistent point of continuity throughout the application process. This includes translating award requirements into clear, actionable timelines; organizing required materials and documentation; monitoring progress toward key milestones; and proactively supporting follow-up to keep submissions organized, complete, and on track for timely submission.

In addition, the role provides editorial support for faculty award materials and requires the ability to work effectively with scientific and technical content to assist with preparing submissions that are clear, accurate, and responsive to award requirements, while preserving faculty ownership of the scholarly content.

Workplace Requirements:

This position offers remote work eligibility, with the understanding that the Administrator will attend on-campus functions as necessary to support faculty needs. Per Rice policy 440, these arrangements may be adjusted based on operational requirements.

Hiring Range: $60,000 – $62,000

*Exempt (salaried) positions under FLSA are not eligible for overtime.

Minimum Requirements:

  • Bachelor’s Degree (Degree in English, Communications, or a writing-intensive field preferred).
  • 2+ years of related professional experience in program administration or coordination, grant writing, or editing.

Skills:

  • Strong written communication and editorial skills, with the ability to edit and refine complex written materials for clarity, accuracy, and alignment with award or fellowship requirements
  • Ability to work effectively with scientific and technical content to support preparation of award and fellowship submissions while preserving faculty ownership of scholarly content
  • Strong organizational and time-management skills, with the ability to manage multiple timelines, deadlines, and deliverables simultaneously
  • Ability to translate requirements into clear, actionable timelines and next steps
  • Strong attention to detail and commitment to accuracy and completeness
  • Ability to coordinate and communicate effectively with faculty, nominators, and administrative partners
  • Ability to work independently, exercise sound judgment, and maintain continuity across multi-step processes
  • Proficiency with standard office and productivity tools (e.g., Microsoft Office suite)

Preferences:

  • Bachelor’s degree in English, Communications, or another writing-intensive field, or equivalent professional experience
  • Demonstrated strength in editing and refining scientific/technical written materials for clarity, organization, and alignment with submission requirements
  • Ability to work effectively with scientific and technical content to support clear and accurate award submissions
  • Experience supporting competitive academic application processes (e.g., NSF GRFP or comparable programs)
  • Experience coordinating timelines, materials, and follow-through across multiple stakeholders in an academic or research environment

Essential Functions:

  • Reporting to the Senior Associate Dean, administers and supports a school-level faculty awards
  • Provides dedicated coordination and follow-through for faculty awards by supporting communication with faculty and nominators, coordinating timelines and required components across departments, and serving as a consistent point of continuity throughout the application process
  • Translates award requirements into clear, actionable timelines; organizes required materials and documentation; monitors progress toward key milestones; and supports follow-up to ensure submissions are organized, complete, and on track for timely submission
  • Provides limited editorial support for faculty award materials, requiring the ability to work effectively with scientific and technical content to assist with preparing submissions that are clear, accurate, and responsive to award requirements, while preserving faculty ownership of scholarly content
  • Maintains centralized records of faculty awards including nominations, submissions, and outcomes, to support continuity, reporting, and institutional knowledge
  • Documents award and fellowship outcomes for SOEC websites, publications, and internal reporting, coordinating with communications partners as appropriate
  • Supports the ongoing organization and refinement of award related workflows, templates, and tracking tools as the program develops
  • Performs other duties as assigned in support of school-level academic initiatives
