Faculty Relations Coordinator (Open Rank)
Job Summary
The Office for Faculty Relations (OFR) supports the University of Colorado School of Medicine by providing leadership, consultation, and services related to faculty professionalism, accountability, and the faculty work environment. OFR manages professionalism case tracking and resolution, delivers educational programming and workshops focused on professionalism, supports faculty recognition initiatives, and partners with departments and leadership to foster a respectful, professional, and values-aligned environment. The office is led by the Assistant Dean for Faculty Relations, reports to the Senior Associate Dean for Faculty, and ultimately reports to the Dean of the School of Medicine. OFR collaborates closely with the Office for Faculty Affairs, the Office for Faculty Development, and other institutional partners to advance faculty and organizational success.
This position provides professional and operational support to the Assistant Dean and the Office for Faculty Relations (OFR). The role is essential to ensuring efficient daily operations and a responsive, high-trust environment. Key responsibilities include managing scheduling, meeting logistics, and internal communications; maintaining the professionalism case-tracking database; and assisting with educational materials, events, and website updates. The coordinator also supports OFR programs such as the Personnel Affairs Committee and faculty recognition initiatives, contributing to the School of Medicine's culture of professional excellence and accountability. The position is expected to work collaboratively with the Office for Faculty Affairs, the Office for Faculty Development, and other relevant campus offices to support shared initiatives and ensure seamless faculty support across the School of Medicine.
Key Responsibilities
Case and Data Management
- Enter, maintain, and verify accuracy of case data in Maxient or equivalent tracking systems.
- Generate, format, and distribute monthly or quarterly reports for leadership and committees.
- Assist with data quality checks and flag trends for further analysis by the OFR leadership team.
- Ensure case management processes and documentation follow applicable university policies and procedures.
Communications and Outreach
- Draft professional correspondence, memos, and announcements on behalf of the OFR.
- Maintain contact lists and listservs for timely, accurate dissemination of information.
- Coordinate communication logistics for faculty recognition programs (e.g., award announcements, event invitations).
- Work collaboratively with the Office for Faculty Affairs, the Office for Faculty Development, and other campus partners to align communications and ensure consistency across faculty-facing initiatives.
- Confirm all communications adhere to university guidelines and policies.
Committee and Meeting Support
- Prepare agendas, gather materials, and ensure timely distribution before meetings.
- Take notes and track action items for committees such as the Personnel Affairs Committee.
- Monitor follow-up tasks and deadlines, ensuring documentation is completed and stored appropriately.
- Coordinate across relevant offices (Faculty Affairs, Faculty Development, HR, and others) to support joint committees or shared initiatives.
- Maintain committee records in compliance with university policy and record-keeping standards.
Event and Program Coordination
- Support logistics for professionalism workshops, trainings, and recognition events, including space reservations, catering, and AV support.
- Assist with event registration, attendance tracking, and post-event evaluations.
- Develop and format educational materials, certificates, or handouts for participants.
- Partner with Faculty Affairs, Faculty Development, and other offices to deliver joint programming when appropriate.
- Ensure events and programs are conducted in accordance with university event policies and accessibility standards.
Technology and Website Support
- Update OFR web pages with resources, event information, and announcements.
- Troubleshoot and coordinate technology needs for hybrid meetings and workshops.
- Help test and launch online forms or surveys related to professionalism programming.
- Collaborate with campus IT and communications offices to ensure website updates and systems integration align with broader SOM standards.
General Office and Operational Support
- Coordinate travel or reimbursements for OFR leadership when needed.
- Manage office supply inventory and order materials as required.
- Provide cross-coverage and backup support for other OFR staff during absences.
- Assist with onboarding and orientation for new staff, as directed.
- Build and maintain collaborative relationships with other faculty support offices to ensure seamless service to faculty and departments.
- Carry out administrative responsibilities in accordance with established university policies and procedures.
Work Location
Hybrid - this role is eligible for a hybrid schedule of three (3) days per week on campus and as needed for in-person meetings.
Minimum Qualifications
Entry Level
A bachelor's degree in Business, Public Administration, Human Resources, Healthcare Administration, Information Technology, or a related field from an accredited college or university.
Intermediate Level
A bachelor's degree in Business, Public Administration, Human Resources, Healthcare Administration, Information Technology, or a related field from an accredited college or university.
One (1) year of experience managing projects, which includes developing, managing, and implementing work processes.
Senior Level
A bachelor's degree in Business, Public Administration, Human Resources, Healthcare Administration, Information Technology, or a related field from an accredited college or university.
Two (2) years of experience managing complex projects, which includes developing, managing, and implementing work processes.
Substitution (All Levels): A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year-for-year basis.
Preferred Qualifications

Anticipated Pay Range
Entry Professional: $48,494 to $61,684
Intermediate Professional: $52,773 to $67,127
Senior Professional: $57,052 to $72,570
