GANAS Coordinator (Temporary)
About the Position

This is a one-year, temporary position, with the possibility of reappointment.
The GANAS (Gaining Access 'N Academic Success) Program is an innovative access and retention program that offers integrated academic and cultural programming to welcome and socialize incoming and returning students while increasing their confidence, engagement, academic success, persistence, and, ultimately, baccalaureate degree attainment rates. Incoming transfer students participate in a year-long cohort-based learning community paired with a transfer success seminar, intrusive academic counseling, and mentoring.
Under the general supervision of the Director of EOP, EXCEL, RSP, and Affinity Programs, the GANAS Coordinator/Academic Enrichment Counselor is responsible for leading all programmatic components and academic partnerships that support and engage GANAS students. Key responsibilities include providing leadership to other academic advisors, delivering direct student advising, coordinating program events, and overseeing outreach and admissions activities for the GANAS program. This position may require occasional evening and weekend work to support special events.
Responsibilities
Counseling and Advising
- Advise students in the GANAS program in groups and individual sessions regarding CSUEB academic policies, and procedures, transcripts, and records.
- Develop an educational plan for students, including choosing a program of study and/or clarifying educational goals and monitoring each participant's ongoing progress and performance.
- Provide guidance in course selection in keeping with the student's interests, values, and abilities.
- Identify potential at-risk students across all colleges for proactive student advising and intervention. Identify successful students in GANAS for appropriate support and recognition.
- Determine graduation eligibility, assess academic documents, assist students in appropriate appeal processes, and advising on requirements.
- Develop, facilitate and deliver instruction on topics such as time management, study skills, goal setting, learning styles, career and life planning, and communication skills.
- Provide support for students experiencing family, personal, or economic crises, which may impact school performance. Help students access needed counseling services and support networks.
- Refer students to appropriate on or off-campus services and resources when necessary.
- Advise and assist students in appropriate appeal processes, provide customer service functions, and advise applicants on requirements via one-on-one meetings, phone, and e-mail communications, and university outreach activities.
Outreach, Admissions, and Marketing Coordination
- Organize and lead program application/admission process by working with on- and off-campus equity partners to identify prospective students.
- Conduct intake advising and counseling for all prospective program participants ensuring they have a smooth transition to Cal State East Bay.
- Handle initial questions and conduct first line screening in all cases related to matriculation (admissions, financial aid, residency, housing, etc.)
- Troubleshoot admissions related problems by utilizing information from university software (PeopleSoft, Bay Advisor, etc.) and connection with participants.
- Participate in on-campus outreach activities, such as the CSUEB Preview Day, Welcome Day, and University Orientations. Serve as primary contact with pipeline programs for prospective program students.
- Coordinate and lead program outreach events for prospective students.
- Conduct program presentations to campus visitors (applicants and general public, such as community college counselors and other support program staff), as well as on-campus offices. 8. Ensure all publications are updated in multiple formats (print, online) and languages as needed.
Program Coordination
- Carry out day-to-day operations of the GANAS program.
- Coordinate meetings with GANAS faculty lead to support program expansion.
- Enroll GANAS in the appropriate courses.
- Coordinate GANAS courses with department chairs.
- Complete monthly reports regarding engagement activities.
Lead
- Monitor and provide feedback to the relevant administrator regarding the performance of the Sankofa SSP II and PIAA SPP III to inform their performance evaluations.
- Provides lead work direction to student staff (primarily graduate interns/assistants, peer mentors, student employees, and volunteers) working with programs and special events.
- Assign tasks and ensure high-quality work is produced.
- Address conflicts within the team and escalate to the appropriate administrator when needed.
- Promote collaboration and teamwork to achieve program goal.
Facilitate GANAS Transfer Success Seminar
- Facilitate transfer success workshops each semester.
- Develops curriculum and instructional materials; evaluates student performance.
- Engages in assessment of student learning.
- Reviews, evaluates, and modifies program curricula and practices.
- Collaborate with GANAS faculty.
Campus Involvement
- Participate in department, Division and campus-wide meetings and committees as needed.
- Represent the Program and Department at events/meetings as needed.
- Participate in professional development activities as needed to remain current on relevant issues pertaining to higher education and the recruitment, retention and success of Program students.
- Other duties as assigned, which include but are not limited to providing back up support as needed.
Minimum Qualifications
Experience
- Equivalent to four years of progressively responsible professional student services work experience which includes experience in advising students individually and in groups, and in analysis and resolution of complex student services problems.
- A master’s degree in Counseling, Clinical Psychology, Social Work or a job‐related field may be substituted for one year of professional experience.
- A doctorate degree and the appropriate internship or clinical training in counseling, guidance or a job‐related field may be substituted for two years of the required professional experience for positions with a major responsibility for professional, personal or career counseling.
Education
- Equivalent to graduation from a four-year college or university in a related field plus upper division or graduate coursework in counseling techniques, interviewing and conflict resolution where such are job related.
Required Qualifications
- Experience supporting transfer students and coordinating student success programming (workshops, learning communities, or similar).
- Experience leading or providing lead work direction to student staff (e.g., graduate interns/assistants, peer mentors, student employees) and collaborating within cross-functional teams.
- Proven ability to plan, coordinate, and assess programs, events, and outreach activities; manage timelines and competing priorities; and produce concise reports.
- Excellent written, oral, and presentation skills; Skills in communication including listening, writing and speaking which include public speaking.
- Proficiency with office productivity tools and student success platforms (e.g., PeopleSoft, Bay Advisor/EAB Navigate, CRM or case-management tools, spreadsheets, and shared drives).
- Ability to generate and maintain collaborative working relationships with campus and community stakeholders.
- Ability to work as part of team and use own initiative.
- Ability to operate independently while applying sound professional judgment, maintaining professional standards and ensuring client confidentiality.
- Ability to work weekends and evenings as required.
- Ability to lift up to 25 pounds related to programmatic activities and events.
Preferred Skills and Knowledge
- Master's degree in college student personnel administration, education, counseling, social work, business or related areas.
- Minimum of five years of experience working in student services.
- At least one year of experience providing lead work direction to full-time professionals in student services.
- General knowledge of the basic principles and practices of effective personnel management.
- General knowledge of the technique used for hiring, evaluating performance and motivating employees.
- Knowledge of current issues affecting higher education, student services, and underrepresented populations.
- Knowledge of complex and evolving university policies and procedures regarding admissions and financial aid.
- Knowledge of, experience with, and ability to serve a diverse student population.
- Skills in computers including a working knowledge of computer applications including all Microsoft Office products and on-line systems including current in-house academic record application software (PeopleSoft) and current online course management (Canvas).
- Skills in organization used to execute multiple projects and assignments simultaneously with an emphasis on accuracy and detail orientation.
- Skills in customer/client service with an emphasis on problem solving to deliver services in a timely and professional manner.
Salary and Benefits
Salary Range: $6,320.00 per month to $9,014.00 per month. PLEASE NOTE: The starting salary placement depends on qualifications and experience and is anticipated to be in the range of $6,320.00 per month to $7,667.00 per month.
