The University of Arizona's Department of Chemistry and Biochemistry invites you to apply for the role of Graduate Program Officer. The Graduate Program Officer manages CBC graduate programs (CHEM & BIOC, PhD and Master's; 130+ students) to ensure program goals are successfully met. Duties are wide-ranging and include facilitating academic program resources, program management, providing program guidance to students, and supporting graduate recruitment and admissions.

Duties & Responsibilities
Facilitation of Academic Program Resources:
- Manage all financial aspects of the graduate programs, including recruitment budgets, travel, oversight of graduate student resources, awards and scholarships distribution, and purchasing.
- Determine additional financial support utilizing department funds.
- Partner with faculty in preparing proposals for graduate student training grants and similar funding opportunities.
- Facilitate administration and disbursement of student awards.
- Maintain appropriate assignments throughout the year and make necessary readjustments as needed.
- Prepare financial and other operational reports as needed.
Program Management:
- Maintain institutional, college, and departmental records related to academic policies, degree programs, and degree requirements.
- Review and analyzes programs to ensure compliance with institutional, state, and federal policies and regulations.
- Provide expertise and guidance to faculty, staff, and students on academic policies and procedures.
- Coordinate and participate in Graduate Program Committee meetings, keeping accurate meeting minutes to maintain records of discussions.
- Communicate important program information to students, faculty, and other stakeholders as needed.
- Coordinate employment logistics including hiring, offer letter, contracts, on-boarding, orientation, scholarships, and fellowships, for graduate students, in alignment with Graduate College policy.
- Update degree plans and student on-boarding materials, such as the handbook, to reflect changes in Department, Graduate College, and University policies and requirements.
- Collect, analyze, and report data and information related to the program and curriculum. Works with the Chair, Graduate Program Committee, and with the Assessment Work Group to evaluate this data.
- Assist with the Academic Program Review and self-study report (conducted every seven years).
Providing Program Guidance to Students:
- Guide faculty, staff, and students on CBC program requirements, Graduate College requirements, and course selection and enrollment (in conjunction with other staff members).
- Provide guidance, referrals, and information to students and faculty.
- Coordinate, track, and monitor degree progress for each student, both internally and in GradPath.
Graduate Recruitment and Admissions:
- Track and manage incoming applications.
- Work with Admissions Committee to review and discuss applications.
- Advise the Admissions Committee on Graduate College policies, procedures, deadlines, etc.
- Organize recruitment events, including student travel, faculty and student events and appointments, food, and social activities.
- Ensure all financial protocols are followed for payment and reimbursements for event costs.
- Budget, plan, and manage program events, such as recruiting weekend.
- Perform additional duties as assigned.
Knowledge, Skills, and Abilities (KSAs):
- Proficiency in UA Financials, Analytics, Employee, and Student systems.
- Proficiency with Excel and data analysis.
- Attention to detail with a high level of accuracy.
- Ability to work effectively as a member of a team.
- Strong written and verbal communication skills.
- Strong organizational skills.

Minimum Qualifications
- Bachelor's degree or equivalent advanced learning attained through professional level experience required.
- Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.
Preferred Qualifications
- Experience with UA information systems, including UAccess (especially Financials).
