Basic Statement of Responsibilities:

This position works closely with the Program Manager and project partners to plan, promote, implement, assess, document, report on current grant projects as well as new programming as grant allocations allow.

Essential Functions:

Coordinator Duties:
  • Work with the Grant Program Manager and grant partners to research and recommend processes and platforms to ensure compliance in data collection, retention, and dissemination as outlined in the grant contract.
  • Apply creative and collaborative approaches to logistics planning, problem-solving and day-to-day operations.
  • Develop and distribute grade-appropriate program communications, forms, and educational materials.
  • Recruit facilitators and nurses to participate in grant funded training opportunities.
  • Coordinates with grant partners to schedule, staff and provide logistical support for grant trainings and events.
  • Ensures all facilitators have the appropriate clearances, supplies, documentation and any required assessments for each outreach activity and all Tier 1 (classroom presentations) and Tier 2 (Mind-Body Skills Groups of up to 10 students) service encounters.
  • Schedule and promote community forums.
  • Coordinate with ACPS administration, staff and grant facilitators to schedule Tier 1 and 2 activities.
  • Coordinate site visits prior to scheduled Tier 2 activities to ensure compliance with grant requirements.
  • Record and maintains attendance data for students participating in Tier 1 and Tier 2 activities.
  • Work with the Program Manager, CE Operations Manager, and ACM Finance to ensure grant objectives are being met. Procure all supplies according to the grant contract.
  • Record and maintain evaluation data for all Tier 1 and Tier 2 activities according to established processes.
  • Ensure pre-assessment data is collected prior to the start of all Tier 2 activities.
  • Collect and match post-assessment data with pre-assessment data for all Tier 2 activities.
  • Collect and maintain all assessment data in a format that protects the identity of the individual participants.
  • Schedule Tier 1 and Tier 2 services to minimize duplication of students.
  • Assist in the preparation of grant progress reports, including gathering data, writing narratives, and compiling supporting documentation.
  • Document and report to Program Manager any variances from grant plan or duplication occurrences, document appropriately.
  • Submit de-personalized evaluation and assessment data to the Center for Mind Body Medicine Research Director for Analysis and Reporting.
  • Identify potential risks to the successful implementation of the grant project and collaborate with Program Manager and/or appropriate partners or areas of the college to develop strategies to mitigate those risks.
  • Ensure that program activities are culturally appropriate and sensitive to the needs and preferences of diverse populations served by the grant.
Other Duties:
  • Maintain database of facilitators with up-to-date contact information.
  • Research supply vendors for pricing and delivery timelines.
  • Coordinate with Program Manager, Grant Accountant, Administrative Support Staff and ACPS/Safe Space to purchase and distribute supplies and maintain an accurate supply inventory.
  • Coordinate with the Program Manager, ACPS and the Community Resilience Network to keep project website up to date and respond to social media inquiries in a timely manner.
  • Work with ACM Publication Services to design promotional materials for the program.
  • Approve public facing documents as directed by funder and ACPS prior to dissemination.
  • Research opportunities for future funding and share with Program Manager and ACM Foundation.
  • Respond to phone, email and walk-in inquiries on grant program and assist others with exceptional customer service.
  • Complete all applicable mandatory trainings for ACM employees.
  • Make presentations as needed, particularly in Program Managers absence.
  • Participate in college, grant and community meetings as assigned.
  • Substitute for Program Manager in an absence.
  • Cultivate beneficial relationships with funders, partners, potential funders, national, state and local government representatives, providers, agencies, instructors, and other areas of the college.
  • Assess processes to ensure efficiency, accuracy and continuous improvement.
  • Other duties as assigned.

Education, Experience, and Specialized Skills:

Bachelors degree and 2 years experience in education, counseling, clinical social work, or project management required. Professional and Advanced Training through The Center for Mind-Body Medicine or willingness to complete this training is required. Strong written and verbal communication skills, strong interpersonal skills, management skills and acute attention to detail required. Requires competency in the use of personal computer operating systems, software applications (Word, Access, Excel, Publisher, PowerPoint), and e-mail/internet communications software.
Masters degree and Clinical behavioral health experience preferred.

Knowledge, Skills, and Abilities:

Excellent organizational, management and communication skills. Specific skills include: Project Management; Budgeting; Human and materials resource management; Process analysis and improvement; Database management; Effective written and oral communications skills; Marketing; Networking; Ability to work individually and as a member of a team; Data collection, organization and reporting. Computer literacy including Microsoft Office Suite, specifically Excel (formulas) ; and Knowledge of and adherence to grant contract and procedures and documentation and reporting requirements. Basic math, data analysis and accounting skills required.
