Position Highlights

The Division of Endocrinology seeks a Health and Medical Education Program Professional II to manage the Endocrinology Fellowship Program and provide administrative support for the Chief of Endocrinology. A high degree of professionalism, organization, discretion, initiative, collaboration, and good judgment is expected. The Health and Medical Education Program Professional II position requires initiative, flexibility, and the ability to respond to diverse challenges along with independent judgment. They will be expected to demonstrate the highest levels of confidentiality, integrity, punctuality, and dependability while carrying out the daily responsibilities of the position. Strong oral and written communication skills, along with keen attention to detail and proficiency with Microsoft Word, Excel, and Outlook, are essential. The position will work closely with the Division Chief and interface with the Department of Medicine Business Office. This position may be eligible for a flexible work schedule upon discussion with the supervisor.

Duties & Responsibilities

  • Provide administrative support to the Division Chief, faculty (when requested), and fellows, including scheduling meetings, organizing and/or preparing departmental administrative reports, tracking program expenses, coordinating distribution/collection of fellow evaluations, maintaining personnel files, analyzing, summarizing and interpreting information, and recommending best actions to be taken.
  • Assist the Program Director with writing and the development of all Fellowship Program required documentation, including preparation of accreditation materials, development of rotation goals and objectives, and management of rewriting program materials in compliance with ACGME regulations and regulatory changes.
  • Manage office workload by responding to day-to-day inquiries, providing information, and interpreting Departmental, University, and Banner policies, procedures, and operations.
  • Prepare the monthly rotation schedule for the fellows in close collaboration with the Program Director.
  • Coordinate annual recruitment process for the fellowship program.
  • Manage recruitment activities for program which includes gathering data from the AAMC ERAS system, collating documents and preparing for interviews, and communicating information to recruits over the phone, in person, and via email.
  • Organize and manage annual and ad hoc accreditation reports.
  • Prepare required accreditation documents and reports in preparation for site reviews.
  • Coordinate annual recruitment process for Endocrinology fellowship slots.
  • Coordinate use of annual fellowship program funds and resources (space and supplies) designated for fellowship operation.
  • Coordinate resident and faculty reimbursements, including preparing travel paperwork.
  • Prepare forms for division reimbursements including disbursement vouchers, purchasing card transactions, and/or on-line requisitions.
  • Coordinate new fellowship trainings and orientation, along with other Program related events.
  • Maintain program website and alumni database.
  • Assist with faculty recruitment and hiring, set schedules, create agendas, and arrange meetings as needed for Division Chief and other members of the division.
  • Attend annual ACGME and specialty specific meetings and workshops.
  • Coordinate outside rotations with outside organizations, hospitals, private practices. Serve as program liaison with faculty, staff, and hospital / clinic personnel.
  • Coordinate all social functions for the Fellowship Program and for the division as requested by the Division Chief.
  • Assist Program Director with preparing academic annual reports for multiple outside agencies, as well as for internal UA requests from the Department of Medicine, GME office, and Deans' offices.
  • Prepare and distribute Program Manual.
  • Proctor the In-Training Exam for fellows.
  • Participate in the development of new procedures in response to new/revised policies issued by governing agencies or the Program Director.
  • Maintain bi-weekly time sheet records.

Minimum Qualifications

  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of three (3) years of relevant work experience, or equivalent combination of education and work experience.
