International Programs Advisor
Willamette University seeks an International Programs Advisor to manage study abroad and international student/scholar advising. This role, based primarily at the Pacific Northwest College of Art (PNCA) in Portland with occasional work on the Salem campus, is full-time and requires in-office presence. The advisor will lead programming, outreach, marketing, and ensure insurance compliance. This position requires Designated School Official (DSO) and Alternate Responsible Officer (ARO) functionality within SEVIS.
Essential Duties:
- Primary contact for the Office of International Education (OIE) at PNCA but works with students at all levels on all campuses.
- Advise students on semester and summer study abroad, including ISEP programs.
- Administer Willamette's global programs, managing a portfolio of study abroad options, including but not limited to art-focused programs. This includes advising students and supporting faculty-led programs.
- Responsible for DSO (F-1) and ARO (J-1) functions in SEVIS, but will also be working with students of other visa statuses.
- Lead coordination between admissions and OIE for I-20 creation for incoming degree-seeking students and supports DS-2019 creation for short-term exchange students.
- Provide comprehensive services to inbound and outbound students, including: communicating with prospective and admitted students, conducting student orientations and organizing social/educational programs, facilitating cultural exchange opportunities, offering ongoing support for immigration or visa related needs (e.g., social security, travel signatures, visas to study abroad, etc.), and working with academic advising professionals to help with credit planning and transfer.
- Conduct marketing and outreach for study abroad via fairs, seminars, website, and presentations.
- Manage applications, student records, and credit transfers for study abroad.
- Oversee the international student/scholar insurance program, liaising with the wellness center.
- Assist with the .25 credit study abroad course.
- Maintain relationships with USCIS, SEVP, DOS, SSA, and the IRS, and advise international individuals on visa procedures and compliance.
- Facilitate the PNCA-Portland Japanese Garden relationship and the joint visiting artist program, including J-1 visiting scholar work.
- Provide secondary supervision to OIE student workers at the PNCA office.
- Coordinate schedules for visitors from partner institutions.
- Undertake national and international travel.
- Other duties as assigned.
Minimum Qualifications:
- Bachelor's degree required.
- US Citizen or Lawful Permanent Resident (for DSO/ARO authorization in SEVIS).
- Minimum of one semester of study, work, or living abroad experience required.
- Proficiency in at least one foreign language.
- Familiarity with art and design disciplines, as a creator, educator, or student.
- Ability to travel domestically and internationally.
- Excellent interpersonal and intercultural communication skills.
- Strong organizational and problem-solving abilities.
- Ability to work independently and collaboratively.
- Willingness to work non-traditional hours when necessary.
Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license or certification.
Preferred Qualifications:
- Experience in an International Education office and with the art community, as an artist, designer, maker, or in an arts/design educational setting.
- Experience with web management, Terra Dotta, and SEVIS.
- Knowledge of F-1 and/or J-1 immigration regulations and international admissions experience.
- Proficiency in a language taught at Willamette University (Spanish, French, Russian, Japanese, German, or Chinese).
- Familiarity working with faculty or educational stakeholders.
- Experience in complex program design and project management.
Typical Work Schedule: Monday - Friday, 8 am - 5 pm. Some evening and weekend hours will be expected.
