Lead Academic Advisement Systems Analyst
Job Summary
Office of the Registrar is seeking a highly experienced and analytical professional to serve as the Lead Academic Advisement Systems Analyst. Reporting to the University Registrar and operating under limited supervision, this position serves as the campus subject-matter expert for academic advisement systems, including degree audit and degree planner tools. The Lead Analyst oversees system configuration, testing, and maintenance to ensure accurate modeling of undergraduate and graduate degree requirements while providing leadership to the Academic Advisement Systems Analyst team.
Key Responsibilities
- Configure, maintain, and test degree audit and degree planner systems to ensure accurate modeling of academic requirements
- Interpret and encode complex curriculum, General Education, and CSU/Title 5 policies into advising systems
- Lead and coordinate the Academic Advisement Systems Analyst team, including assigning work and managing priorities
- Oversee annual curriculum updates and system enhancements
- Troubleshoot system issues and collaborate with IT to resolve technical problems
- Provide training and consultation to faculty and staff on academic advisement systems
- Support campus partners in implementing curriculum changes and improving student degree progress tools
Knowledge, Skills & Abilities
- Knowledge of clear, audience-appropriate communication practices for students, faculty, and staff, while maintaining a student-centered approach
- Advanced knowledge of the PeopleSoft Academic Advising module and degree audit/planner configuration
- Knowledge of educational policy structures, including GE, major/minor requirements, transfer articulation, external exams, and ADT pathways
- Advanced understanding of relational database concepts and data modeling, and ability to analyze data for accurate system configuration
- Advanced analytical and problem-solving skills, including interpretation and integration of complex curricular and technical data
- Skill in conducting detailed system testing and troubleshooting technical and functional issues
- Skill in preparing documentation, training materials, manuals, and reports
- Skill in delivering training and providing consultation to faculty, staff, students, and technical partners
- Skill in managing projects, timelines, testing cycles, and collaborative work across units
- Ability to take initiative and independently plan, organize, and coordinate work in an environment with multiple competing demands
- Ability to work effectively and collaboratively with individuals at all levels of the organization
- Ability to maintain confidentiality and appropriately handle sensitive communications
- Ability to provide leadership, coaching, and constructive performance feedback to staff
Required Qualifications
- A bachelor's degree and/or equivalent training
- Six (6) years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Preferred Qualifications
- An earned baccalaureate degree
- Minimum of 8 years of experience working in higher education interpreting degree requirements as a graduation evaluator, academic advisor, curriculum specialist, or other related professional positions
- Experience with PeopleSoft Campus Solutions modules such as Student Records, Curriculum Management, and the Academic Advising module; other comparable Student Information System software will be considered
- Minimum Five (5) years of experience in encoding degree progress audit logic, preferably in the PeopleSoft Academic Advisement module or in College Source uAchieve
- Experience in developing and maintaining documentation for a program, process, or system
- Experience working with Title V and California State University curriculum policies, including General Education
Compensation
Classification: Administrative Analyst/Specialist – Exempt III
Anticipated Hiring Range: $7,935/month - $8,256/month (Step 12 – Step 14)
CSU Salary Range: $6,382/month - $9,297/month (Step 1 – Step 20)
