Summary
This position is partially funded by a grant.
The Limited-Term Program Coordinator provides essential coordination, planning, and assistance with operational support for the Expressive Arts Department. This position assists with critical programs and events unique to the department including the Artist in Residence Program, Ceramic Post-Baccalaureate Program, CLAY Festival, community collaborations, department specific process and programs, and national accreditation efforts. The coordinator assists with effective execution of departmental goals in compliance with institutional, state, and national standards.
Duties
- Program & Event Support - Assist with coordination of the Artist in Residence and Ceramic Post-Baccalaureate programs, including application processing, onboarding logistics, housing coordination, and general compliance support. Supports the planning and implementation of departmental events, outreach activities, and recruitment initiatives. Support community partnerships and outreach efforts (e.g., Print Fiesta, high school exhibitions) by coordinating logistics and communications.
- CLAY Festival Support - Assists with the operations, marketing, and logistics for the CLAY Festival in collaboration with program leadership. Provides support in gathering materials for grant applications connected to the festival or departmental initiatives.
- Student & Academic Support - Provide administrative support for BFA application processing. Assist with student and faculty needs, including procedures, records, advising referrals, and general departmental inquiries. Coordinate studio use scheduling at Chino.
- Administrative & Compliance Support - Assist with NASAD accreditation documentation and reporting requirements. Support health and safety compliance efforts in coordination with Facilities. Assists in preparation of NASAD audit-related materials and supports adherence to university, state, and federal policies.
- Financial & Budget Support - Assist with preparing, tracking, and reconciling departmental and program budgets in collaboration with Business Affairs.
- Communications, Marketing - Assist with developing promotional materials, updating department website content, and maintaining program visibility.
- Operations - Support departmental communications, meeting coordination, and calendar management. Maintain department records, reports, travel coordination for faculty and visiting artists, and general office operations. Assist with recruiting, hiring, onboarding, and processing student workers. Supports departmental participation in university and community partnerships as assigned.
- Performs other duties as required.
Education/Background
Associate's degree required. An art background or art degree is preferred. A minimum of two years of relevant administrative, organizational, or operational experience is required, ideally in an academic or arts setting. Knowledge of current technologies and communication platforms is required. Strong digital literacy and proficiency are essential. Experience with Microsoft Office and Adobe Suite are preferred. Experience managing websites and social media promotions are preferred, as is experience with resource planning and information systems.
Job Knowledge
Understanding and knowledge of general practices in the arts and academic art environments. Familiarity with accreditation, compliance, and program reporting processes related to an academic art department. Knowledge of budgeting, scheduling, supervisory practices, and administrative support functions. Strong communication skills and ability to build effective working relationships across departments and with community partners. Ability to work in a fast-paced environment, manage multiple tasks, and maintain confidentiality. Understanding of university policies, and applicable federal and state regulations.
Working Conditions/ Physical Demands (With or Without Accommodations)
Normal office environment, may travel some within the community when needed. May be required to transport normal office equipment and materials. Ability to comprehend and work with a variety of information from various sources. Able to clearly communicate with a diverse population of individuals. Ability to compose correspondence and reports and remain in a sedentary position for prolonged periods of time. May be required to work additional hours or days depending on circumstances.
Other Requirements
a. Requires a valid driver's license.
b. Required to complete Defensive Driving Course within 6 months. (If applicable to the role)
