Executive Assistant to the Associate Provost for UG Education
Basic Function and Responsibility:
The Executive Assistant ensures the smooth operation of undergraduate curriculum and academic services by supporting the Associate Provost. Job duties include but are not limited to project support, research and reports, calendar management, communication and correspondence including sensitive and confidential matters, as well as other tasks as assigned.
Essential Duties:
Project Management: Coordinate meetings, manage communication, prepare reports and presentations, and implement processes relevant to the projects sustained by the Assoc. Provost of Undergraduate Education, including:
o Undergraduate Curriculum including Core Curriculum
o Summer Study Tours
o Academic Honors (EKE Society, National Scholarships)
o First Year Seminar
Committee Support (current committees listed below): Organize and attend meetings, record discussions, and prepare detailed notes, when necessary.
o Core Curriculum Committee
o EKE Committee
Manage Calendar: Schedule Assoc. Provost’s Appointments and Meetings and track necessary tasks/actions
Coordinate and Dispense Information: Respond to inquiries, monitor incoming email, provide timely responses, and organize and manage documents for easy retrieval by appropriate personnel.
All other duties as assigned that the supervisor determines are appropriate

Qualifications
General:
1. Communication: Excellent written and verbal communication skills for interacting with diverse stakeholders. Active listening to understand others’ needs and respond effectively.
2. Calendar Management: Scheduling and handling appointments, meetings, and events.
3. Google Workspace Proficiency: Familiarity with Google products including Gmail, Google Calendar, Docs, Sheets and Slides, Google Drive and Google Meet.
4. Office Administration Procedures: Knowledge of office protocols and processes.
5. Time Management: Prioritizing tasks and managing time effectively to meet deadlines. Juggling multiple responsibilities without compromising quality.
6. Organization: Keeping track of details, schedules, and documents. Maintaining an orderly workspace and digital files.
7. Adaptability: Being flexible in a dynamic work environment. Embracing changes and adjusting priorities smoothly.
8. Confidentiality: Handling sensitive information with discretion. Respecting privacy and maintaining trust.
Education: A bachelor's degree or higher in any discipline
Skills:
1. Commitment to Christian higher education and interest in liberal arts general education is preferred.
2. Research: Skill to gather, analyze, and synthesize information, especially concerning wider practices in undergraduate curriculum and academic services.
3. Event Planning: Coordinate educational opportunities for faculty, staff and students.
4. Strategic Planning: Thinking ahead and anticipating needs or potential challenges of supervisor or department.
Hiring Range: $23.15 - 30.00 per hour
Hours Per Week: 40
Months Per Year: 12
