ABOUT THE ROLE
This position is based at the School of Medicine, Sydney (SoMS).
The role involves collaborating with academic and professional colleagues to deliver effective and efficient administrative support for the Foundation Year cohort at the School of Medicine. Day-to-day line management will be overseen by the Sydney Campus Foundation Year Coordinator, with reporting lines extending to the School Manager and the National Head of School.
Key Responsibilities
- Provide high-quality administrative support for the Foundation Years Doctor of Medicine program, including:
- Acting as the main contact for students and academic staff
- Handling inquiries and coordinating student meetings
- Managing data entry, report generation, and updates on student attendance and leave
- Distributing resources and communications
- Coordinating student learning activities, such as orientation, lectures, workshops, site visits, and clinical placements
- Coordinate meetings, prepare minutes, and organise correspondence.
- Assist with report compilation, correspondence, submissions, and data sets.
- Support and maintain internal databases and manage office requirements.
- Assist with administration of policies, procedures, and guidelines.
- Liaise with University departments for collaboration.
- Perform other duties as assigned and comply with all policies and procedures.
Qualifications, skills & experience:
- Diploma-level qualification or equivalent relevant experience/education.
- Demonstrated administrative experience, preferably in the education sector.
Knowledge, Skills & Abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Visio), Adobe, timetabling programs (Allocate), and Learning Management Systems (Blackboard).
- Strong communication (oral and written) and interpersonal skills, with the ability to liaise effectively and discreetly with diverse stakeholders.
- Ability to exercise initiative, manage competing priorities, and work flexibly in a dynamic environment.
- Proven ability to collaborate across teams and deliver high-quality, responsive service.
- Track record of preparing accurate, high-quality documentation with attention to detail.
