Job Description
DESCRIPTION
Under the direction of an assigned supervisor, provide helpdesk support and assistance to administrators, faculty, staff, and students. Organize and manage a working inventory of equipment or devices for supply distribution. Receive and schedule equipment requests. Oversee and perform the ordering, scheduling, receiving, circulation, and return of media and equipment. Perform clerical duties, including statistical data entry, filing, copying, maintaining records, and data entry. Hire, train, schedule, and oversee student workers.
REPRESENTATIVE DUTIES

- Utilize helpdesk software to log, track, and manage service requests to ensure timely resolution of reported issues. (E)
- Maintain numerical and alphabetical records, file materials, and update information as needed. (E)
- Operate a variety of standard office equipment, including personal computers, copiers, audiovisual and other office equipment. (E)
- Organize and maintain equipment for checkout. Identify equipment that is not functioning properly, troubleshoot fundamental issues when possible, and submit service requests for repairs or replacements. Communicate with vendors or internal teams to ensure timely resolution of issues and minimize disruptions. (E)
- Schedule and reserve rooms on an electronic calendar. (E)
- Coordinate the circulation of media and equipment by overseeing check-in and check-out processes, tracking usage, ensuring timely returns, and maintaining accurate records. Guides students and staff on proper usage and care of equipment. Assist in enforcing policies related to media and equipment loans and address issues related to lost, damaged, or overdue items. (E)
- Monitor supply inventories and submit orders when needed. (E)
- Perform routine clerical duties in support of the helpdesk, including processing, preparing, and screening reports, forms, and other documents for accuracy and completeness; copying, typing, and proofreading completed documents; answering telephones and providing routine, factual information to office visitors and callers; opening, screening and routing mail. (E)
- Assist students, faculty, and staff with accessing online resources. (E)
- Hire, train, and provide work direction to student assistants. Schedule work hours, oversee tasks, and explain and maintain lab policies, procedures, and requirements. (E)
- Track, review, and acknowledge student assistant timesheets in accordance with established procedures. Ensure the effective use of allocated student assistants and maintain an adequate student assistant employment pool.
- Compile, list, and summarize information; prepare routine or recurring reports according to established procedures; prepare and maintain statistical records. (E)
- Interact with students, staff, and the public. (E)
- Perform related duties as assigned. (E)
MINIMUM QUALIFICATIONS
EDUCATION AND EXPERIENCE: Any combination equivalent to: graduation from high school and two years of experience in office procedures and instructional multimedia equipment.

- Learn department and programs objectives and goals.
- Understand and follow oral and written directions.
- Provide work direction and guidance to student workers.
- Read, interpret, apply, and explain rules, regulations, policies, and procedures
- Meet schedules and time lines
- Establish and maintain cooperative and effective working relationships with others
- Plan and organize work
- Communicate effectively both orally and in writing
- Type 50 words net per minute from clear copy
- Understand and follow oral and written directions
- Operate a variety of office equipment such as computer, copier, fax machine, and others as assigned
- Lift and carry up to 25 lbs.
LICENSES AND OTHER REQUIREMENTS:
May require a valid California drivers license.
WORKING CONDITIONS:
- Long periods of standing and sitting.
- Move from one work area to another.
- Interaction with students, staff and the public
